Position Summary

As our Project Travel Coordinator, you will own the end-to-end travel experience for field crews, project managers, and leadership—ensuring seamless logistics, cost savings, and real-time support across multiple overlapping sites.

Key Responsibilities

• Travel Booking & Management:
  • Arrange all flights, car rentals, and hotel accommodations
  • Maintain up-to-date itineraries and calendars for crews working on concurrent projects
  • Identify cost-saving opportunities and present recommendations
• Vendor Negotiation & Relationships:
  • Negotiate rates and terms with airlines, hotel chains, and rental agencies
  • Cultivate strong partnerships to secure preferred pricing and perks
• Reporting & Forecasting:
  • Maintain a centralized travel log for auditing, forecasting, and reconciliation
  • Collaborate with the team to ensure travel costs are accurately coded and reconciled
• Operational Support:
  • Coordinate new-hire travel during onboarding
  • Serve as primary contact for urgent itinerary changes, delays, or travel issues
  • Partner with project managers and site leads to align travel with crew rotation schedules
• Expense Management:
  • Prepare and reconcile expense reports in coordination with finance teams
• Data Entry & Reporting:
  • Perform accurate data entry for finance reporting tools (e.g., Medius, Netsuite)

Required Qualifications

• 3+ years of travel coordination, logistics, or project support experience (construction/field industries preferred)
• Proven negotiation and vendor-management skills
• Exceptional organizational skills and strong attention to detail
• Ability to juggle multiple schedules in a dynamic environment
• Proficiency with Excel, and booking platforms (AmTrav, Concur, Egencia, etc.)
• Excellent verbal and written communication, at all organizational levels
• On-call availability as needed to provide 24/7 booking and coordination support

Preferred Qualifications

• Working knowledge of project timelines and manpower cycles in the construction industry
• Experience preparing and reconciling expense reports
• Proficiency in data entry for finance reporting tools (e.g., Medius)
