Project Coordinator

We are seeking a Project Coordinator / Specialist to support our Philly/NJ region, based out of our Plymouth Meeting, PA location. This is a contract role focused on assisting project managers and cross-functional teams in the execution of technical and process improvement initiatives. The ideal candidate will be highly organized, proactive, and detail-oriented, with strong communication and coordination skills. Key Responsibilities: Support planning, scheduling, and coordination of project milestones with Project Managers Monitor project timelines and budgets in collaboration with engineering teams and external vendors Track project deliverables and ensure follow-up on outstanding action items Organize and maintain project documentation including meeting notes, invoices, subcontractor billing, and change orders Generate weekly and monthly status reports for leadership and key stakeholders Assist with project invoicing and serve as liaison between internal departments (Projects, Sales, Service) Coordinate project turnover meetings and maintain feedback loops between teams Facilitate new vendor and subcontractor account creation in PO system Support the implementation of project management processes, tools, and methodologies Participate in risk assessment, issue resolution, and cost/budget tracking activities Engage in knowledge-sharing and team planning sessions Required Qualifications: High school diploma or GED Minimum 2 years of experience in project coordination or a similar administrative role Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook); experience with MS Project or equivalent tools is a plus Strong organizational and time-management skills Effective verbal and written communication skills Ability to manage multiple tasks in a fast-paced, team-oriented environment Attention to detail with a focus on quality and accuracy Qualifications: Bachelor's degree in Business, Engineering, Project Management, or related field Experience in the HVAC, commercial service, or manufacturing industries Familiarity with Agile or Stage-Gate project methodologies
