Title: Facility Maintenance Supervisor

Level: Full Time Regular (FTR)

FLSA: Exempt

Effective Date: May 2025

General Duties: Responsible for communication between the numerous Resort Services departments, Operations Managers, property owners and property association board members and all other WSI departments and business entities at the resort area. There will be accountabilities for these entities assigned to the Director of Facility Maintenance. The accountabilities may include monitoring day-to-day operations and supervising staff. Coordinates tasks between and among Vehicle Maintenance, Lift Maintenance, Facility Maintenance, Resort Lodging, Contract Services, Lessee and Associates, and Big Mountain Commercial Association.

The ability to see the big picture of the departments and the company/business around us, coordinate effectively staff and resources within our two maintenance departments and able focus on the project at hand, thus integrating these avenues.

The Maintenance Shop (Wood Shop) is located adjacent to the Maple parking lot. Parts of the workspace are located on the ground floor, while offices, restrooms and inventory storerooms are located on the second floor and accessed via stairway.

Job Relationships:

· Reports to: Director of Facility Maintenance

· Employees Supervised: Building Mechanics and pool/spa staff at times

· Daily communication and task coordination with Administrative Assistant- Facility Maintenance

Job Specifications:

  • High School Diploma or GED equivalent. Trade, business school or equivalent.
  • Minimum five years’ maintenance experience required.
  • Minimum five years previous management or supervisory experience required.
  • Must be able to proficiently utilize WSI software programs, MS Word, Excel, Outlook, Streamline lodging/maintenance program, etc. and/or similar utility programs.
  • Must possess a valid driver’s license and the ability to be added to WSI insurance policy.
  • Demonstrate excellent communication skills both written and verbal.
  • Must be a participatory manager, proactively working with supervisors and managers and directors within WSI departments.
  • Must be able to provide every guest with a high level of customer service at all times.
  • Must be able to work within the framework of the company and department policies and procedures as set forth in the employee manuals.
  • Demonstrate ability to cross sell other departments and businesses at the resort, and to effectively communicate that information to our guests.
  • Must be knowledgeable on the principles of HVAC, low pressure boiler systems, air handling equipment and the current Delta based computerized Building Management Systems.
  • Knowledge of building related components and troubleshooting, including but not limited to: roofing systems, paint coatings, carpentry, building interior & exterior finishes and construction, hydraulic elevator operation, electrical systems, plumbing systems, pump operation, fire systems, alarm systems, locks and door hardware, as well as maintenance schedules for proper maintenance and proper maintenance related terminology and vocabulary.

Specific Duties:

  • Assists Director of Facility Maintenance in preparing budgets for the following departments: WMR Lodging and WSI Facility Maintenance, as well as assisting various homeowner associations and individual property owners in budget planning.
  • Reviews daily and monthly accounting processes, including budget analysis and statements.
  • Manage and integrate maintenance staff to work together for a common goal; both resort maintenance staff and Whitefish Mountain Resort Lodging maintenance staff.
  • Assists Director of Facility Maintenance in attaining financial goals while maintaining quality service and profitability.
  • Regularly attends and actively participates in regularly scheduled property association owner’s meetings or attends in Director’s absence.
  • Attends weekly supervisor and manager meetings.
  • Responsible for keeping maintenance contracts and equipment & parts inventories current.
  • Assists Director of Facility Maintenance with strategic planning of plant capital upgrades, improvements, and completion.
  • Responsible for ensuring WSI facilities and managed properties are in compliance with local codes and regulations.
  • Monitors and manages maintenance operations, repair and improvement projects and capital projects including procurement and coordination with outside contractors to achieve our goals.
  • Assists Director of Facility Maintenance in maintaining good employee relations through use of internal communications plans, weekly staff meetings and one-on-one communications.
  • Assists Director of Facility Maintenance with staff supervision; scheduling, company policy compliance and documentation (safety, disciplinary, attendance, etc.) and positive acknowledgements.
  • Provides orientation, training, safety awareness programs and administrative policies and procedures for staff supervisors and managers.
  • Quarterly walks our buildings for interior and exterior inspections, randomly checks equipment operations for future planning, assessment of maintenance effectiveness and general conditions.
  • Generates and assigns work orders to maintenance staff using the Streamline program.
  • Generates purchase requisitions through Concur with accurate financial data, follows the approval process as needed and submits them to Purchasing, Accounting and the Chief Financial Officer as required by our $250.00 spending limit.
  • Responsible for maintaining an orderly, organized and tidy, positive “plant” appearance, including our maintenance shop, inside and out.
  • Make it a priority to keep WSI facilities, machinery and equipment in safe and proper working order.
  • Responsible for maintaining proper operation or fire suppression and security systems in facilities.
  • Issuing and training in the use of safety appliances to all affected employees.
  • Training of all required OSHA standards as defined by company policy and procedure. Maintaining training records of the same.
  • Corrects or aids in correcting any unsafe working conditions to avoid repeated accidents or unsafe circumstances.
  • Develop plans for keeping work and storage areas clean and orderly.
  • Attend company safety meetings.
  • Is named on a call list to respond to fire alarm, intrusion alarms, flooding or disaster notifications may occur 24/7.
  • Approves timecard inputs and assists Director of Facility Maintenance with employee work schedules.
  • Routinely walks our managed lodging properties for property inspections, appliance operation and random assessments of the effectiveness of the Minor Maintenance program and general condition for planning and communicating property upgrades to the owners.
  • Manages Acculock key card system and creates a plan for expanding Acculocks across our buildings.

Safety & Wellness:

All team members must be on constant alert for any unsafe conditions and work behaviors. This will involve, but not be limited to, periodic inspections of work and public areas. Follow up notification will be done to correct the condition or practice at the earliest possible opportunity.

Work Environment:

  • Moderate physical activity is required by handling objects up to 30 pounds frequently and 75 pounds occasionally.
  • Ability to be on one’s feet for extended time periods up to 6 hours daily.
  • Ability to sit at a computer workstation up to 5 to 8 hours daily.
  • Light to moderate physical activity to include bending, climbing, stooping and shoveling frequently daily.
  • Ability to perform maintenance tasks in small spaces and awkward body posture on a regular basis.
  • Ability to climb ladders-from a step ladder to a 32-foot extension ladder.
  • Fire extinguisher training, basic first aid and CPR training will be on-going as part of this job.
  • Drive company vehicles in the performance of daily duties.
  • Able to safely operate, train and mentor other staff extendable forklifts, bucket trucks and man lifts.
  • Flexibility in schedule changes at short notice is required.
  • Job may require working weekends and holidays.
  • Ability to work under varying weather conditions, often extreme in nature.
  • Non-smoking environment.
