Brief Job Description (essential functions of the job):
The Operations Cabinet oversees all aspects of municipal buildings, including their construction, renovation, and maintenance, as well as permitting and enforcement of building construction and regulated industries, including food service establishments, housing, and environmental health hazards. The Operations Cabinet includes the Public Facilities Department, the Property Management Department, and the Inspectional Services Department. The Chief of Operations supports the coordination, planning, and execution of capital investments in public buildings, including the Boston Public Schools (BPS) facilities, and coordinates citywide operational eorts that include multiple agencies and organizations.
Reporting to the Deputy Chief of Operations for Strategic Capital Planning, the Project Manager will provide coordination and administrative support to key Operations Cabinet projects, including the White Stadium Public Private Partnership project.
Responsibilities- Facilitates briengs for senior Mayors Oce ocials and sta to update them on progress, opportunities, challenges, and decision points.
- Participates in the planning, development, implementation, and monitoring of community engagement strategies, plans, and programs.
- Acts as a point of contact across a wide range of stakeholders to provide up-to-date project information and elevate challenges to the correct project partners and sta.
- Tracks and reports on qualitative & quantitative data to measure progress toward achieving the goals of assigned projects, including community engagement databases and stakeholder engagement.
- Participates in community meetings and events to advance special capital projects, as appropriate. This may include scheduling, content creation, facilitation, coordination with other City departments, administrative support, and record-keeping.
- Drafts content such as decision point memos, slide decks, meeting agendas, meeting summaries, emails to stakeholders, and website content.
- Performs scheduling and logistics for internal and external meetings.
- Provides short-term o site assistance with operation-related projects.
- Monitors project email addresses and ensure prompt responses.
- Produces tools, templates, processes, documents, and other materials for assigned projects.
- Performs customer service functions, including answering phone calls, directing calls, and answering emails.
- Represents and supports the daily operations of the project team in a professional manner.
- Oversees and develops project plans, identies and manages risks, and establishes ongoing clear communication with all project stakeholders.
- Exercises condentiality and discretion with highly sensitive information and demonstrates sound judgment.
- Performs related work as required.
- Applicants must have one (1) year of full-time or equivalent part-time professional experience.
- A Bachelors degree in business, nance, urban planning, public administration, construction, politics, or a related eld is preferred.
- Ability to communicate clearly and concisely, both orally and in writing.
- Ability to exercise good judgment and work on multiple projects simultaneously while maintaining attention to detail is required.
- Excellent organizational skills.
- Prociency with Microsoft Oce and Google Suite.
- Experience with community engagement.
- Knowledge of the Boston permitting process, including Article 80 development review, is preferred.
- Demonstrated interest in public policy and working in the public sector is highly preferred.
