Overview:

Our client is looking for a skilled Project Manager to lead the development and implementation of a new customer portal system. This role will spreadhead the project from conceptual design through development, testing, and launch, ensuring successful delivery that meets business objectives and user requirements.

Responsibilities:

• Create and maintain project management framework and methodology.
• Establish thorough project charter defining goals, objectives, scope, and success criteria.
• Establish and manage detailed integrated project schedules encompassing build, test, data migration, training, system integration, launch, and rollout phases.
• Determine crucial path activities and analyze opportunities for schedule optimization.
• Create and manage project budget accounting for all costs.
• Author RACI matrix defining roles, responsibilities, and accountability across all stakeholders.
• Spearhead conceptual design phase in collaboration with cross-functional teams and subject matter experts.
• Evaluate and improve desired-state process maps to line up with portal objectives.
• Confirm functional and non-functional requirements for completeness and industry best practices compliance.
• Lead development of non-functional wireframe prototypes.
• Perform iterative design sessions and review screen wireframes.
• Run prototype review sessions to confirm user journeys and functionality.
• Pull together portal requirements into formal Request for Proposal (RFP), create vendor assessment criteria and evaluation processes, serve as primary communication point for vendor questions and clarifications, and evaluate vendor proposals against established criteria.
• Create vendor selection recommendations based on capabilities, experience, and cost.
• Spin up formal project team communication plan with clear objectives, audiences, and frequency.
• Plan, coordinate, and facilitate project team meetings with structured agendas.
• Communicate project updates to senior management through reports and presentations.
• Escalate unresolved issues to appropriate management levels for timely resolution.
• Perform comprehensive risk assessments to identify, qualify, and prioritize project risks.
• Create risk response strategies and mitigation plans.
• Monitor project progress for potential schedule and budget variances.
• Manage action item tracking system ensuring appropriate follow-up and resolution.
• Assess and update risk management plans throughout project lifecycle.
• Maintain comprehensive project documentation including schedules, minutes, contracts, and decisions.
• Ensure project information is organized and accessible to team members.
• Create dashboards to track progress against schedules, issues, and risks.

Qualifications:

• Project management experience with software/portal development projects

• Proven track record managing full software development lifecycle projects from conception to launch

• Experience with vendor selection and management processes

• Familiarity with portal development technologies such as:

• Microsoft D365 (F&O ERP and CE CRM)

• PowerApps

• HubSpot

• WordPress/WooCommerce

• Jira

• Knowledge of software testing methodologies and practices

• Strong proficiency in project management methodologies (Agile, Waterfall, or hybrid approaches)

• Experience creating detailed project schedules, budgets, and resource plans

• Ability to identify critical path activities and optimize project timelines

• Proven skills in risk assessment and mitigation planning

• Experience with change management and organizational readiness assessment

• Ability to lead and command authority; influence and inspire across a matrixed organization (i.e. without control or positional authority)

• Demonstrate team building skills by developing high performing project teams, setting a positive tone and leading by example

• Excellent written and verbal communication skills

• Ability to facilitate meetings and drive objective-oriented discussions

• Strong stakeholder management skills across technical and business teams

• Proven ability to manage multiple competing priorities and deadlines

Preferred Qualifications:

• Project Management Professional (PMP) certification or equivalent experience
• Experience with customer portal or B2B/B2C platform implementations
• Background in dental/healthcare industry or regulated environments
• Experience with compliance and regulatory requirements
• Familiarity with data dictionary development and system architecture documentation
