Position Overview:

Southwestern University has an immediate opening for an Assistant Project Manager. This position will report to the Senior Project Manager. The Assistant Project Manager supports the Senior Project Manager with all aspects of minor and major capital projects, and works closely with the Director of Business Operations, the Director of Facilities Operations and the Director of Environmental Health & Safety, to deliver high quality projects on time and within budget and to ensure value for the University in a safe, efficient working environment. Duties include the effective management of design and construction projects by supporting all phases of programming, planning, design, construction, close out and warranty. The Assistant Project Manager serves as the Owner's Representative on contracted project management support services, serving as the point of contact for the Senior Project Manager as delegated. The Assistant Project Manager supports the duties of the Senior Project manager as liaison to Facilities Management personnel, other University departments, regulatory entities, outside consultants, and construction professionals in support of capital projects and university infrastructure maintenance. This role requires a proactive problem-solver with excellent communication and organization skills, capable of coordinating cross-functional teams and driving project success in a dynamic academic environment. This is a full-time exempt position eligible for our comprehensive benefits program.

Essential Duties:

Effectively manage aspects of capital projects as delegated by the Senior Project Manager to deliver high quality results within the approved schedule and budget. Project types include new construction, renovations, and refurbishment of existing buildings and infrastructure. Convey leadership's intent in directing design professionals, collaborating with campus partners, and administering contracts necessary to meet project goals, while providing timely reporting to leadership. Coordinate with all University stakeholders to minimize disruption during execution while providing communication, reporting and conflict resolution to ensure project goals are met.

Define Scopes of Work for solicitation development and serve on selection committees for competitive design and construction contract awards as directed. Obtain quotes and bids for minor projects.

Contribute to effective maintenance of the University project database, including master plans, as-builts, warranty and all project contract documentation. In accordance with Senior Project Manager direction, ensure accurate creation and proper filing of all necessary documentation for each project to provide an auditable accounting of decisions and expenditures and review for completeness and accuracy.

Conduct thorough reviews of design documents for compliance with University Standards and identification of constructability and building code issues.

Develop preliminary project budgets including preliminary assessments, abatement, design, construction and contingencies for escalation and unforeseen expenses. Manage university resources in an appropriate manner while ensuring scope control and pursue value engineering where appropriate.

Employ available project management system and provide feedback on software tools.

Conduct and/or attend project meetings and facility management meetings as needed.

Ensure that the policies of the University and Facilities Management, including all safety regulations, are known and observed.

Additional Duties:

Support process improvement initiatives as assigned by the Senior Project Manager.

Assist Director of Environmental Health & Safety with the development and delivery of the safety program.

Assist the Facilities Management department during special events such as commencement, homecoming, etc.

Coordinate efforts among other staff and vendors for relocation evolutions, furniture or equipment installation, cleaning or remediation services and providing temporary office spaces.

Perform other duties as assigned.

Minimum Qualifications:

Bachelor's degree in Architecture, Engineering, Construction Management, Construction Science, or related discipline.

Minimum of one (1) year of experience providing project management of design and construction activities for renovations and new construction, including institutional or commercial facilities.

Working knowledge of contract documents (plans, specifications) and experience negotiating construction contracts.

Experience developing project budgets, performing construction document reviews, conducting inspections, and coordinating with delivery teams and user groups.

Working knowledge of life safety and building codes including, NFPA 101, IBC, ASHRAE, Texas Accessibility Standards, and the Americans with Disabilities Act, among others.

Experience using Google applications, and Microsoft Office applications including Excel, Power Point and Word, and scheduling software such as MS Project.

Excellent communication (verbal and written), collaboration and organizational skills, with an ability to manage multiple simultaneous activities in a diverse and complex environment.

Possess and maintain a valid Texas driver's license.

Ability and willingness to travel utilizing standard, commercial, and/or personal modes of transportation.

Preferred Qualifications:

Licensed Architect or Engineer in the State of Texas, or licensure in another state and eligible for reciprocity with the State of Texas, or ability to obtain professional licensure in the State of Texas within two years.

Project Management Professional (PMP) certification, or other similar demonstration of formal project management training.

LEEDAP and CEM credentials.

Experience managing design and construction for projects in a higher education setting as the owner's representative.

Technical proficiency in one or more construction trades such as Journeyman or Master Electrician certification.

One or more years' experience working for an HVAC or other commercial facilities vendor, or construction contractor, or architect/engineering firm.

Starting annual salary: $85,500. The final offer for the successful candidate will be commensurate with experience and may exceed the starting salary.
