Description
JOB SUMMARY
Project Coordinator (PC's) is responsible for the day-to-day operations in the PC dept. handles internal and external customers by using excellent, in-depth knowledge of company products and operations. They are adaptable to changing priorities, while still completing operational duties in a timely manner.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned and regular and reliable attendance.
Operations
- Communicates with builder reps, customers, and suppliers as needed
- Analyze color selection sheets, purchase orders from builders, and retail quotes created by sales
- Order material from suppliers per builder color sheets
- Reconcile order confirmations/packing lists when material received
- Communicate with installers regarding installation, repairs, customer service, and retail work
- Investigate, re-order missing material, damaged material, and issues that arise during installation/service for builders, and retail homeowners
- Coordinate with warehouse personnel for staging jobs daily
- Special project requests and billing requirements
Customer Service
- Communicate with homeowners to determine scope of repairs and scheduling
- Work closely with Manager to schedule repairs (geographically friendly to scheduled installations)
- Resolves customer complaints on finished product - communicates to builder or manager updates on outstanding service
- Data entry into Customer Service database (ECP) to document life of service ticket from date received until closing out issue
- Scan related documents, signed ticket into database and send to builder to close out service ticket
Admin
- Maintain accurate, detailed, & organized files for builder work, customer service, and retail work
- Write up daily schedule for installers and compile necessary paperwork for next day
- Reconciles completed work from previous day with schedule
- Accurately write up internal work orders
- Helps to complete Company monthly inventory
- Order stock material as needed
SUPERVISORY RESPONSIBILITIES This position carries out supervisory responsibilities in accordance with company guidelines, policies and procedures, and applicable laws. Supervisory responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

- Requires a high school diploma or GED and up to 1 year of related experience; or an equivalent combination of education and experience; college degree preferred.
- Must be a multitasker, highly organized.
- Proficient in Microsoft office
- Excellent interpersonal, verbal and written communication skills
- Excellent customer service
- Able to work in a team environment
- Reliable attendance
