Job Title: Contract Administrator - Construction Management and Design

Location: This role is approved to be Remote or hybrid based at our Headquarters in Newport News, VA

Position Overview:

The Contract Administrator - Construction Management and Design plays a key role in the administration, coordination, and oversight of contractual agreements supporting real estate development, construction, design, and facilities operations. This position focuses heavily on the review, tracking, and administration of AIA (American Institute of Architects) contract documents, ensuring alignment with organizational policies, project timelines, and regulatory standards.

Key Responsibilities:
  • Review, negotiate, and process AIA contract templates and amendments for new construction and renovation projects.
  • Maintain contract documentation and ensure alignment with project scopes, timelines, and budgets.
  • Track key contract milestones, deliverables, expirations, and compliance deadlines.
  • Ensure proper execution, routing, and archival of all contractual documents in accordance with internal controls and legal guidance.
  • Support Real Estate & Facilities teams in the procurement and contracting process for capital improvement, tenant fit-outs, and facility upgrades.
  • Coordinate with external vendors, architects, contractors, and legal teams to clarify contract language and ensure deliverables meet requirements.
  • Assist project managers with documentation needs throughout the construction lifecycle.
  • Collaborate with Finance to ensure vendor invoicing aligns with contract terms and completion milestones.
  • Recommend improvements to contract lifecycle processes and templates.
  • Support audit requests and internal reviews by maintaining accurate records and version control.
  • Ensure risk mitigation through accurate and compliant use of AIA contract language.

Preferred Qualifications:
  • Bachelors degree in business administration, Construction Management, Real Estate, or related field.
  • Minimum of 35 years of experience in contract administration, preferably within real estate or facilities operations.
  • Strong working knowledge of AIA contract types.
  • Paralegal certification or related legal contract training a plus.
  • Familiarity with lease administration, capital budgeting, or facilities planning.
  • Experience with document management systems (e.g., Procore, DocuSign, SharePoint).
  • Exceptional analytical, strategic, and communication skills.
  • Detail-oriented with excellent organizational skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, particularly Excel and Word.
  • Knowledge of construction project lifecycles and vendor management practices.

Actual pay rate may vary depending upon location. The estimated pay range for this position is below. The specific rate will depend on a candidates qualifications and prior experience.

$4,124.70 - $7,791.30

Estimated Ranges displayed are Monthly for Salaried roles OR Hourly for all other roles.

This role is Bonus or Incentive Plan eligible.
