Job Summary
The Project Coordinator is part of the Healthcare and Specialty Walls team, where the goal is to ensure projects are completed on time and within budget, while successfully implementing project milestones.
This position will help execute all aspects of the furniture delivery and installation process and will include working directly with Insidesource's Sales, Project Management, and Installation teams.
Project Coordinators will frequently interact with vendors, warehouses, and furniture installers to help meet required deadlines and ensure phenomenal client experiences and project execution level.
A Project Coordinator must be proactive, have excellent communication and organizational skills, be able to anticipate concerns, and thrive in a fast-paced environment.
Essential Duties and Responsibilities Including but not limited to:
- Oversee small parts of the larger project and are primarily responsive for administrative tasks and support for the Healthcare and Specialty Walls team
- Utilize spreadsheets to track budgets, product being shipped, timelines, and other information
- Attend and conduct field measurements and electrical (high & low voltage) verification site visits
- Assist with generation of installation documents
- Communicate with outside vendors and labor partners
- Assist with onsite installation needs
- Create and maintain comprehensive project documentation, change order logs, punch lists and general reports
- Able to communicate and present strongly to the Project Management and Sales Teams
- Maintain flexibility with work hours and travel as needed

Skills/Knowledge Required
- Minimum (2) + year of experience in an admin or client facing role
- Proficient in the use of MS Office Suite - Word, Outlook, Excel, PowerPoint
- Willing to become proficient in other project management software platforms including PlanGrid, Box, Dropbox, Smartsheet, Google Doc, etc.
- Strong interpersonal skills with an ability to interact and connect with team members
- Able to work efficiently under high-stress situations
- Excellent time management and prioritization skills
- Excited by new challenges and acts during times of uncertainty
- Seeks out opportunities to step out of one's comfort zone
- Eager and able to learn from multiple sources

Experience/Education Required
- Bachelor's degree preferred
- High school diploma or equivalent
- Project management experience a plus
- Knowledge of construction, architecture, contract furniture, event planning or the commercial real estate industry is a plus
