About This Role

The Purchasing Coordinator is responsible for performing procurement activities and tasks, ensuring cost control, vendor compliance, and financial transparency. This position initiates, prepares, processes, and verifies change orders and cost adjustments following established guidelines to align with project budgets and financial reporting. This position and job family is responsible for managing transactions, tracking cost variances, and overseeing purchasing-related systems and reporting. This position will interact with vendors to maintain contract compliance, resolve invoice discrepancies, and facilitate vendor onboarding, contract management, and insurance verification. The Purchasing Coordinator will compile bid documents, track bulk award calculations, and coordinate contract evaluations. This position writes variance notes, conducts financial review budget adjustments, and assists with reporting on the financial health of production expenses, ensuring transparency and data-driven decision-making at the leadership level.

On a Given Day, Your Work Might Include

  • Reviews change orders for accuracy, evaluates justification, and ensures proper documentation.

  • Routes change orders to the appropriate group for approval and tracks status.

  • Manages vendor contracts, scopes of work, and master agreements.

  • Processes new vendors and manages vendor onboarding.

  • Tracks vendor insurance compliance.

  • Gathers and compiles "Bid Set" documents for vendor bidding.

  • Monitors and consolidates bidding documents from ARCH, ID, and PMs for Purchasing Managers.

  • Manages the Purchasing and Change Order email inboxes.

  • Tracks and manages bulk award calculations for vendor contracts.

  • Performs other related duties as necessary or assigned.

What You'll Need to Succeed

  • High school diploma required; college degree preferred. Equivalent work experience may override formal education requirements.

  • Minimum of 1 year working within a purchasing, procurement and/or accounting department, which also includes:

  • 1+ year of task management experience in a fast-paced professional environment, including processing information, data, or accounting workflows; and

  • 1+ year of experience tracking deliverables, coordinating tasks, and ensuring process adherence.

  • Must have 2+ years of Excel experience with proficiency in basic formulas, sorting, linking, and general setup.

  • Experience or knowledge of Accounting, Accounts Payable, or Accounts Receivable preferred.

  • Strong organizational and time management skills.

  • Ability to manage multiple competing priorities.

  • High attention to detail and accuracy.

  • Proficiency in Microsoft 365, specifically Excel (formulas, sorting, linking, general setup).

  • Strong analytical and problem-solving skills.

  • Effective verbal and written communication.

  • Ability to track and oversee project deliverables.

  • Ability to collaborate with cross-functional teams.

  • Basic understanding of accounting principles.

Physical Requirements

  • This position requires frequent use of a computer, including keyboard functions and visual acuity of 20 inches or fewer daily.
  • Standing and/or walking for extended periods of time
  • Be able to lift up to 20 pounds on occasion with or without accommodation.

Travel Requirements

  • May be required to visit job sites on occasion and/or travel for conferences, etc.

Hours & Compensation

This is a full-time position paying $25.00/hr - $35.00/hr. The hourly range represents the anticipated low and high end of the hourly range for this position. Individual placement within a salary range will vary based upon factors including but not limited to candidate experience, knowledge, individual, skills, and organizational performance.
