Responsibilities

Working closely with Principals, the Operations Manager, Project Managers, and project teams, this role supports smooth operations and project success by:

  • Assisting with project management: creating and maintaining work plans, tracking progress, and managing project records and databases.
  • Scheduling and supporting meetings and team work sessions.
  • Acting as the studios IT liaison: coordinating with IT for tech support, printers, plotters, and Zoom systems.
  • Handling sub-consultant contracts and project number coordination; ensuring proper filing and distribution of documents.
  • Supporting Finance with invoicing, accounts receivable, and office expenses.
  • Assisting with marketing efforts: reviewing, editing, and assembling proposals and documents.
  • Managing the physical studio: ordering supplies, handling packages, arranging catering, scheduling meetings, planning events, and coordinating with building management.
  • Answering and routing phone calls; greeting guests in a professional, welcoming manner.
  • Helping onboard new hires: setting up desks, computers, and building access.
  • Collaborating with Office Assistants across studios on firmwide initiatives.
  • Taking on additional tasks as needed to support the team and studio success.

A predominantly in-office schedule is important for fulfilling the responsibilities of this role.

Qualifications
  • Undergraduate degree and at least 3 years of administrative or project coordination experience.
  • Strong organizational skills with the ability to manage multiple tasks and adjust priorities in a fast-paced environment.
  • Basic understanding of accounting principles and project management.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); Adobe Suite experience is a plus.
  • Quick to respond and able to communicate clearly and effectively with clients, staff, and consultants.
  • Strong writing, formatting, and proofreading skills.
  • Proactive, dependable, and self-directed, with sound judgment and attention to detail.
  • Willingness to grow professionally and pursue certifications.
  • Interest in design fields (architecture, landscape architecture, engineering) is a plus.
Compensation

The salary for this position is $55,000-$65,000, dependent on experience. This position is benefits eligible. Benefits include comprehensive health, wealth, and well-being benefits. Ownership of the company is held in an ESOP Trust, which is funded entirely by company contributions, and all employees participate. This is designed as a long-term retirement benefit, with the employees accounts increasing as the value of the business increases.
