Compensation: $125,000/year-$135,000/year

Position Summary

Position Summary/Overview:

The Project Manager I will be responsible for establishing and running the project team with the objective of ensuring all projects are delivered using a best-practice project delivery approach and are delivered within the agreed scope, time, cost, and quality. The Project Manager I will work closely with the Director, Business Development, and Design Integrators to provide preconstruction and construction services. This role will focus primarily on the projects within the Specialty Construction Division but will also manage projects under other divisions within Vantis. The Project Manager is responsible for providing direction throughout the entirety of a project from estimating through closeout. The role oversees estimating, scheduling, integration, and purchasing functions as they relate to construction services and provides effective management of the operations team.

Responsibilities:

  • Responsible and accountable for Total Project Delivery, including project costs, scheduling, client relationships, and profitability
  • Directly supervise the activities of the office and field staff related to the assigned projects
  • Follow the project management strategy and standard operating procedures
  • Implement common project management methodology, standards, and tools to ensure the successful delivery of projects.
  • Measures project performance by actively monitoring KPIs and managing project team such that they maintain acceptable levels of quality and productivity (Schedule, Budget, and Scope)
  • Performs risk management to minimize project risks
  • Works closely with the Director of Specialty Construction Division to address projected shortfalls before they adversely affect project performance and accurately forecasts future resource requirements and project financials
  • Prepare detailed and accurate cost estimates for construction projects, including quantity takeoffs, subcontractor/vendor pricing, and scope review

Preconstruction:

  • Manage medium to large-scale projects concurrently from start to finish, including estimating and preconstruction
  • Lead design-assist teams and serve as a liaison between Client, Architect, consultants, and Vantis staff during design coordination
  • Review plans and specifications to create scopes of work and execute contracts
  • Prepare scopes of work and recommend subcontractors to be selected for contracts
  • Send out invitations to bid and manage the bidding process
  • Provide construction input to design professionals
  • Pre-development information of construction techniques and cost
  • Responsible and accountable for day-to-day contact and meet regularly with clients and designers to ensure ongoing satisfaction. Attend and provide preconstruction status at OAC meetings
  • Work with the Integration Team to create permit drawings, if required per the contract
  • Assist Compliance team to ensure that subcontractors comply with insurance and bonding requirements
  • Create baseline and progress project schedules
  • Review and ensure accurate project submittals, including shop drawings
  • Generate and process subcontractor submittals for adherence to the specifications
  • Responsible for contract buy-out and procurement per the appropriate order entry processes
  • Manage project document logs to include Change Orders, RFI's, Transmittals, and Submittals

Construction:

  • Review, understand, and comply with all the requirements of the contract between owner and contractor, general contractor and subcontractor, and 2nd tier subcontractors and vendors
  • Review scope of work as designated in the contract to ensure no scope gaps that will impact project performance
  • Direct and lead the subcontractors, material vendors, project engineers, and superintendents
  • Direct the mobilization of resources, both human and material, including initial site set-up
  • Conduct Site-Walks and create subsequent write-ups
  • Monitor the quality of workmanship and materials on the project (QA/QC)
  • Maintain weekly status reports on the project for supervisory review
  • Coordinate with the Superintendent and subcontractors to develop and update the project schedule
  • Assist Safety Director by representing the Company during OSHA inspections and provide safety reports on projects when necessary
  • Supervise the activities of the Project Engineers and Superintendents
  • Create and maintain site logistics plan
  • Align the project schedule with the General Contractor and regularly update the project schedule
  • Create and manage RFI's
  • Ensure project as-builts are updated accordingly
  • Maintain records of job cost and manage WIP schedule
  • Regularly update project financials to ensure accurate estimated cost at completion
  • Ensure project photos are regularly taken, and the superintendents manage the daily log
  • Oversee and maintain the Vantis project management system
  • Review and approve subcontractor's and supplier's pay requests
  • Evaluate the individual performance of the personnel to maintain the company's high standards of success

POST - CONSTRUCTION

  • Manage project closeout, as-builts, O&M's, warranties, lien releases, punch list items, extra products, and key control
  • Lead post-mortem meetings and summarize reports with final financials

ADMINISTRATION

  • Manage all administrative functions on the project
  • Follow all procedures and policies of the company
  • Ensure compliance with the company's safety program
  • Create and evaluate process flows and recommend improvements, as needed
  • Ensure deadlines and cost targets are met, including managing the schedule, cost performance baselines/indexes, scope baseline, and tracking/adjusting progress
  • Manage all sides of the project financially, including contracts, projections, billings, etc.
  • Maintain required project documentation (Project Charter; Scope; MS Project Plan; Communication Plan; Configuration Management Plan; Risk Register and Risk Mitigation Plans; RAID logs; Lessons Learned; Training materials; Sign-off)
  • Teach and provide training to the construction personnel in the company's policies, procedures, systems, and technical construction techniques
  • Continuously evaluate the capabilities of the construction personnel and at regular intervals as determined by company policy
  • Assist as necessary in the procurement of building permits

Qualifications:

Education/Experience

  • Bachelors degree (B.A.) from a four-year college in construction management, engineering, or architectural design or relevant experience.
  • Project management professional (PMP) certification preferred.
  • Minimum of 5 years related experience and/or training in construction management; or equivalent combination of education and experience.
  • MS Project and Procore experience required.
  • LEED and Well Building certification preferred.
  • Experience with Prefabrication/offsite, design-build, and IPD process is also desired.
  • OSHA 30 certification preferred.

Skills

  • Extremely strong analysis and critical thinking skills
  • Deadline and detail-oriented
  • CPM (Critical Path Method) experience required
  • Knowledge of construction building codes
  • Ability to communicate verbally and in writing
  • Knowledge of construction estimating and scheduling practices
  • Must demonstrate managerial skills appropriate with this position
  • Procore or equivalent PM Management Software experience is required
  • Bidding, Building Connected experience is a plus
  • Proficient in Microsoft Project or other scheduling software equivalent is required
  • Budget, Change Orders, RFI's proficiency
  • Full understanding of offsite approach for integrated wall assemblies into the construction process preferred
  • Experience with leadership in cross-functional project management activities in construction is required
  • People leadership experience required
  • Ability to assess and manage risk
  • Ability to foster and leverage relationships. Comfortable interfacing with clients, architects, general contractors, subcontractors, vendors, and internal staff
  • Must be extremely organized, with good time management skills and the ability to work independently with minimal guidance.
  • Must be able to analyze and problem solve, even with significant ambiguity
  • Excellent verbal and written communication skills with ability to successfully present products and services
  • Must have ability to prioritize and react with urgency, as needed
  • Proven sales ability and general understanding of business practice, pricing, and discounting
  • Experience in take-offs using ProEst or similar estimating software is preferred

Physical Requirements

  • Ability to visit the entire job site, which may include climbing stairs or other elevated structures.

Working Environment

This role is a hybrid role that requires proficiency in working independently in a remote setting while remaining flexible and responsive to in-person project requirements as they arise. Must have reliable internet access and be comfortable working independently while staying connected with team members through digital communication tools (e.g. email, video conferencing, company messaging platform, text messages, etc.). Must have reliable transportation to travel to project meetings in various cities
