As the Project Coordinator, you’ll be the hub of all moving parts—keeping projects on time, on budget, and on point. Your responsibilities will include a mix of hands-on coordination, vendor management, client updates, and logistical follow-through. What We’re Looking For
  • 3+ years’ experience in Construction Project Coordination, Construction Admin, or Assistant Project Management
  • Proven experience coordinating renovations or ground-up builds in residential construction
  • Familiarity with reading plans, scopes of work, and construction schedules
  • Excellent communication and follow-up skills—you don’t let balls drop
  • Proficiency with Microsoft Office and construction project software (bonus if you know Buildertrend or CoConstruct)

Responsibilities

Communication & Client Coordination

  • Act as a point of contact between office staff, superintendents, subcontractors, and clients
  • Provide regular updates on project progress, timelines, and budget status
  • Schedule client walkthroughs and coordinate with design team on selections
Project Planning & Document Control

  • Maintain detailed project files, including contracts, permits, change orders, and site photos
  • Track milestones and update schedules in project management software (e.g., Buildertrend, CoConstruct, Procore)
  • Create and distribute weekly progress reports to stakeholders
Budget Tracking & Cost Control

  • Monitor project budgets daily/weekly—flag and address discrepancies before they become issues
  • Track purchase orders, invoices, and job costs
  • Advise project team on areas that may be trending over budget and recommend cost-saving adjustments
Vendor & Subcontractor Coordination

  • Request and review vendor quotes; prepare bid comparisons
  • Create and issue work orders and POs
  • Confirm subcontractors are scheduled, briefed, and have required materials or permits in place
  • Follow up on outstanding quotes, RFIs, or change orders
Material Ordering & Site Support

  • Order fixtures, finishes, and materials based on design selections and construction schedule
  • Track deliveries and ensure materials are on-site when needed—no delays, no excuses
  • Assist superintendents with project logistics, such as scheduling dumpster swaps or utility connections
  • Cross-check install dates with material deliveries
