Production Project Administrator

This is a full time position that provides a salary commensurate with experience and outstanding benefits in a truth and grace filled environment.

The Production Project Administrator collaborates with the Director of Production to ensure the seamless and efficient execution of project initiatives and operations. Responsibilities encompass project planning and implementation, maintaining effective processes, organizing resources, and facilitating team communication. The Production Project Administrator fosters collaboration among team members, including staff and volunteers, as well as ministry partners within the church to achieve project objectives and accomplish administrative goals.

Working Hours: This is a full-time position, working at least 36 hours per week.

A nticipated Schedule : Monday-Thursday 9 am – 5 pm (includes a 30 min unpaid lunch); Sunday 7 am – 1 pm

Event support hours vary greatly, and during certain times of the year, additional hours may be necessary to meet the job's demands. All church staff will be asked to support and serve for religious holidays and worship services, including Christmas Eve and Easter.

Job Responsibilities and Duties:

  • Track project timelines, milestones and deliverables to ensure that they are met on time and within budget
  • Coordinate eSpace planning to ensure both gear, setups and staffing needs are met for Production heavy events
  • Meet with event stakeholders to foster strong lines of communication and collaborative efforts for event needs and collaborative efforts between the Production Ministry and the event planners
  • Assist the Director of Production, the AVL System Engineer and Service Producers with service/event logistical preparation including generating production flowsheets and ensuring proper content is loaded and prepared for services and events
  • Coordinate with team members, ministry partners and vendors to facilitate project progress and address any issues or roadblocks
  • Work with Service Producers to ensure proper event staffing needs are scheduled and coordinated. This will require heavy ongoing communication with stakeholders, volunteers and contractors
  • Work with the Director of Production for recruitment and onboarding of new Volunteers to the Production ministry
  • Ensure new volunteers and contractors make it through their orientation and onboarding processes, transitioning them to the training LMS programs of the Production Ministry
  • Provide ongoing support and reporting of volunteer training and scheduling systems
  • Monitoring the progress of training and ensuring that each staff member, contractor and volunteer is moving forward in their training program
  • Facilitate clear communication pathways for ministry partners to support smooth project execution and operational efficiency
  • Assist in organizing team events, meetings and trainings, including logistics and materials preparation
  • Support the production department with basic bookkeeping functions, including expense tracking, invoice processing and budget reconciliation
  • Help oversee the big picture production vision and execution for HPUMC events including, but not limited to, Christmas, Easter, VBS, Back to School/Fall Kickoff, and other outdoor events
  • Other duties as assigned

Education and Desired Skills:

  • Bachelor’s degree in business administration, Communications, Music Business, Production Management or equivalent is highly desired.
  • Experience in church worship production is preferred
  • Commitment to core Production Values of Passionate, Relational, Excellent, Accountable, Collaborative, and Honor-Giving
  • A basic understanding of video, audio, lighting, electrical, and production is preferred
  • Experience with videography, film, storyboarding and script management is a plus
  • Strong problem-solving and relationship-building skills
  • Stage design experience and directing is a plus
  • Excellent written and verbal communication and interpersonal skills are required, and the ability to work successfully in a team environment
  • Strong attention to detail and ability to prioritize competing projects
  • Ability to strategically think through projects and their relationship to the big picture
  • Excellent time management skills
  • Capable of summarizing chunks of information for clarity and understanding
  • Ability to work nights and weekends as necessary
  • Must be able to carry at least 50lbs

  • G Suite (Google, Gmail, Calendar, etc.)
  • Microsoft Office Suite
  • ProPresenter
  • Notion and ClickUp
  • Asana or other project management systems
  • ThinkIFic learning module systems
  • Strong organizational and time-management skills, with an ability to prioritize multiple tasks effectively
