Records and Information Manager (Construction) FLSA Status: Full-time, Exempt Salary: $85,00 - $110,000, Depending on Qualifications Location: Northern, VA/Washington Dulles International Airport (on-site) Position Description Summary: Jacobsen Daniels is seeking a skilled, experienced administrative professional to manage the records and documents related to construction projects at the Washington Dulles International Airport. The candidate will have very high organizational skills and attention to detail, responsible for meeting documentation and document management. In addition to coordinating agendas, minutes, distribution, and general office administration duties, they will use expert judgement to work alongside project managers and directors to large scale construction projects are completed on time and within scope and budget. The successful candidate must be highly proficient in using Procore and have at least three years' experience in a professional environment working with project management information systems (PMIS) and Microsoft Office Suite products. Requirements Professional Requirements: At least three (3) years' experience in document and records management. Experience with project management information systems (PMIS). Firm knowledge in multiple business software programs including MS Office suite products (Teams, Outlook, Word, Excel, PowerPoint, Sharepoint) and CAD. Firm knowledge with Procore Construction Software. Maintain project management software (Procore), trains staff on the use of the software, run reports, and create reports for staff. Monitors the integrity of data, troubleshoots software. Prepare transmittals, distribute documents, and retrieve documents. Assist the Project Managers and the Project Team in all matters relative to project documents and the control and distribution of documents. Establish and maintain files; receive, index and scan documents. Types of project documents include correspondence, field memos, submittals, pay requests, drawing log, safety notices, RFIs, and photos. Above-average organizational skills and attention to detail. Ability to listen and interpret complex meeting information into concise meeting minutes. Maintain office facilities, supports staff with facility, equipment, and supply needs. Excellent written, oral, communications, and people management skills. Ability to take direction and work efficiently. Ability to organize large events and office activities. Ability to find value added services to client. Desirable Requirements: Experience managing documents in a large-scale construction environment. Proven record of meeting and exceeding customer expectations. Ability to analyze impacts of schedule changes and recommend mitigation strategies. Ability to present schedule data to project stakeholders. Experience with Bluebeam. Experience in scheduling software such as Primavera P6 or Microsoft Project. Education & Specialized Qualifications: A four-year college degree At least three (3) years of experience working across a variety of technology platforms. Must be able to pass a TSA background check and obtain an airport access badge. Valid US driver's license required. Working Conditions: This position reports in-person at the IAD Airport Administrative offices. Work is performed on the project site or in an office environment.
