We are currently looking for a Project Coordinator to join our dynamic, fast-paced, and growing Facilities & Maintenance team. The Project Coordinator will be responsible for assisting in the planning, coordination, and execution of various projects, ensuring that operations, programs, safety, and logistics are carried out effectively and in compliance with applicable requirements. The role involves managing schedules, communicating with stakeholders, tracking project progress, and resolving operational issues. The Project Coordinator ensures that projects are completed on time, within scope, and meet safety and quality standards.
What You Will Be Doing
Project Coordination & Support:
Project Planning:
Assist in the development and management of project plans, schedules, and timelines for construction, maintenance, and logistics projects.
Coordinate project activities with internal teams, including engineering, operations, logistics, and safety departments.
Prepare and maintain project documentation, including reports, schedules, budgets, and contracts.
Aid in the scheduling and management of the preventative maintenance system for Rhoads equipment and facilities.
Communication & Reporting:
Act as the central point of contact for project stakeholders, including internal departments, external contractors, and vendors.
Ensure timely communication of project status, progress, and issues to project managers, team members, and external stakeholders.
Prepare regular progress reports, meeting minutes, and presentations to update stakeholders on project milestones.
Resource Coordination:
Assist in the allocation of resources, including manpower, equipment, and materials, to ensure project activities are adequately supported.
Coordinate with vendors, contractors, service providers, and stakeholders to manage the scheduling of resources and activities.
Monitor the procurement and delivery of supplies and equipment for project needs.
Logistics & Supply Chain Support:
Logistics Management:
Coordinate with various groups to ensure projects can be completed in a timely manner without impacting other groups.
Work with supply chain teams to ensure the timely procurement and delivery of necessary parts, materials, and supplies.
Track inventory and supplies, ensuring accurate records are maintained for future use.
Vendor & Contractor Coordination:
Assist in managing relationships with external contractors, suppliers, and vendors, ensuring timely delivery of services and supplies.
Monitor contractor performance and compliance with contractual obligations and safety standards.
Compliance & Safety:
Regulatory Compliance:
Ensure that all project activities comply with applicable regulations, (i.e. Rhoads requirements, OSHA, ANSI, Building code, ADA, etc.)
Assist in preparing the necessary documentation for compliance audits, inspections.
Monitor and document compliance with safety protocols, ensuring all operations are conducted in line with safety regulations.
Safety Oversight:
Support the implementation of safety procedures and practices
Coordinate safety drills and training sessions for crew members and project teams.
Assist in the investigation and reporting of safety incidents or accidents, implementing corrective actions as necessary.
Budget & Financial Management:
Budget Tracking:
Assist in tracking project budgets, monitoring expenditures, and ensuring that all costs stay within allocated limits.
Work with the project manager to prepare budget reports and forecasts for projects.
Identify cost-saving opportunities and support the procurement of cost-effective solutions for materials and services.
Invoice & Documentation Management:
Review and process invoices from contractors, vendors, and service providers, ensuring accuracy and timely payment.
Maintain accurate records of financial transactions, contracts, and project-related documents.
Support the preparation of financial reports for project managers and senior management.
Risk Management:
- Risk Assessment:
- Assist in identifying project risks related to vessel operations, logistics, and safety.
- Work with the project team to develop risk mitigation strategies and contingency plans.
- Monitor risks throughout the project lifecycle and implement necessary adjustments to avoid delays or issues.
Your Background
- Bachelor's degree in Construction Management, Project Management, Engineering, Architecture, Logistics, or a related field preferred.
- Minimum of 2 years of experience in project coordination or project management, preferably within the industrial or construction sectors.
- Knowledge of building code or regulations, safety standards, and industry practices.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent communication and interpersonal skills.
- Proficiency in project management software, such as Microsoft Project or similar tools.
- Experience with CAD, Bluebeam, Adobe or other related software
- Strong attention to detail and problem-solving skills.
- Proficiency in project management software and tools.
- Ability to work independently as well as to function effectively and collaboratively in a team environment
- Proficient in Microsoft Outlook, Excel, Word, and Power Point with the ability to learn job related software including MaintainX.
The Work Environment at Rhoads
- The performance of this position involves exposure to construction or industrial areas where the use of personal protective equipment such as safety glasses, hard hats and hearing protection is required.
- Must be able to work in a variety of physical positions, including sitting, standing, walking, and driving in an automobile
- May require walking and standing on irregular, uneven surfaces in an industrial setting and at increased heights climbing and descending ladders and ship stairways.
