Job Description:

Primary Duties and Responsibilities

The following duties are customary for this position, but are not to be construed as all-inclusive. Duties may be added, deleted and assigned based on management discretion and institutional needs.

Responsible for communication with vendors who provide supplies and equipment to campus

Enforces WKU policies, procedures and work standards to ensure adequate performance and personnel safety, and reports all disciplinary conflicts to the Manager of Fiscal Services

Inspects completed work to ensure conformance to our operating standards

Schedules work depending on work priorities, staff, or equipment availability, or weather conditions

Ensures stock (both maintenance & janitorial supplies) is ordered, received, checked in, unpacked, stocked and recorded utilizing the current CMMS program.

Ensuring CMMS Inventory module is accurate and up-to-date with costs and accurate inventory information.

Verify inventory computations by comparing them to physical counts of stock, and investigate discrepancies or adjust errors

Checks out supplies to Facilities Management maintenance employees

Coordinates uniform ordering with Business Operations Manager on an annual basis and ensures distribution of uniforms to Facilities Management team members

Coordinates with purchasing and DFM staff on supplies and orders

Responsible for and participates in the Stockroom end of the year inventory each year

Responsible for issuing and securing DFM credit cards, logging procurement card purchases into DFM work order system, and providing backup for reconciliation of credit cards with University credit card procedures

Responsible for filing and maintaining paperwork for all completed purchases made by DFM

Monitors project activities to ensure that instructions are followed, deadlines are met, and schedules are maintained

Trains employees in all tasks & equipment necessary to perform their jobs to operating standards and provides employees with assistance in performing duties as necessary to meet deadlines

Reviews time sheets for accuracy & adherence to the DFM attendance policy

Performs computer work such as emails, spreadsheets, word processing, internet parts research, intranet human resource functions, evaluations, memos, etc.

Determine proper storage methods, identification, and stock location based on turnover, environmental factors, and physical capabilities of facilities

Operates University vehicles

Secondary Duties and Responsibilities

Directs activities of stockroom staff to receive, store, and issue supplies and equipment, keep inventory records, and provide exceptional customer service for the Department of Facilities Management stockroom

Assists Manager with financial reporting, monitoring expenses, and auditing the staff and inventory control process

Maintains excellent communication/customer service with Building Coordinators to ensure client satisfaction and that employees are demonstrating respect, hospitality, and quality service

Communicates bi-laterally with other supervisors within DFM to ensure that services are provided in an efficient and timely manner and on ordering and delivery status of supplies

Performs related duties as assigned

Knowledge and Skills Essential for Success

Good organizational, communication and interpersonal skills required

Proficient in Microsoft Word and Excel

General operational knowledge of the warehousing/logistics industry including order process functions, shipping/receiving processes, stock rotation procedures, proper storage procedures, inventory control, etc.

Knowledge of principles and processes for providing customer and personal services including needs assessment, meeting quality standards for services, and evaluation of customer satisfaction

Knowledge of business and management principles involved in strategic planning, resource allocation, leadership techniques, and coordination of people and resources

Skill to motivate, develop and direct people as they work and identifying the best people for the job

Ability to provide on-the-job training/coaching to team members

Basic computer skills to access/send emails and perform data entry into the maintenance work order system

Active listening skills by giving full attention to what other people are saying, taking time to understand the points being made, and asking questions as appropriate

Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems

Physical Abilities Required

Operation of Forklift (must maintain on-site certification provided by WKU)

Ability to maneuver a large box truck

Ability to perform physical activities that require the employee to stand, walk, use hands to grip/move objects, tools or controls; reach with hands and arms; climb or balance, stoop, kneel, crouch or crawl; talk or hear and smell

The ability to see details at close range (within a few feet of the observer)

Must be able to perform strenuous physical labor, which includes heavy lifting, carrying up to 50 lbs., as well as standing, walking, reaching, carrying, stooping and kneeling

Requires working outdoors in all types of weather conditions

Ability to sit for prolonged period of times

Requirements:

High School Diploma or GED equivalency

At least five years of experience in shipping, receiving, storing, issuing and accounting for supplies and property

At least one year of supervisory experience

Must possess and maintain a valid Kentucky driver's license
