Position Summary:

The University Program Specialist (UPS) serves as a critical leader in the operational and academic program coordination in the School of Nursing, with primary responsibility for managing the operations of the Prelicensure Entry-Level Master of Science in Nursing (PELMSN) program and overseeing the school-wide scheduling of ALL nursing courses. This high-impact role functions with a high degree of independence and strategic decision-making, supporting academic excellence and program efficiency.

The UPS works in direct partnership with academic program directors, department chairs, and senior leadership to design and implement effective course scheduling processes, ensuring accuracy, compliance, and timely execution in alignment with institutional policies. The individual in this role exercises expert-level data management, systems thinking, and problem-solving to proactively identify and resolve scheduling complexities and to facilitate seamless academic operations.

This position requires sound judgment, confidentiality, a strong commitment to student and faculty success, and the ability to operate effectively in a fast-paced, high-stakes academic environment. The UPS is not only a key contributor to the daily functioning of the School of Nursing, but also a valued thought partner in the continuous improvement of academic program operational systems.

Minimum Qualifications:

BACHELORS DEGREE AND ONE YEAR OF EXPERIENCE RELATED TO THE AREA OF ASSIGNMENT; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS.

Preferred Qualifications:
  • Experience working in a higher education academic support or registrars office.
  • Familiarity with nursing education programs and accreditation standards.
  • Experience with data visualization and reporting tools (e.g., Tableau, PowerPoint).

Schoolwide Academic Scheduling Coordination

Essential Tasks:
  • Coordinate the highly complex and tedious course scheduling process for ALL SON academic programs and concentrations (undergraduate, graduate, and certificates), including course numbers, credit hours, faculty assignments, days/times, and room scheduling.
  • Enter and maintain scheduling data in systems such as Banner, CourseLeaf (CLSS), and other relevant university platforms.
  • Collaborate with the Senior Associate Dean for Academic Affairs, Department Chairs, Program Directors, and Registrars Office to ensure an accurate and timely class schedule.
  • Use Excel and other data tools to prepare scheduling grids, faculty assignments, and classroom needs.
  • Run mail merges and prepare reports and schedule drafts for internal review and finalization as needed
  • Ensure all deadlines for schedule entry, proofing, and submission are met each semester or term.

Essential Tasks:
  • Serves as the primary program resource and first contact for the PELMSN program, including communication with students, faculty, and other stakeholders.
  • Maintain updated program documents, handbooks, and internal databases related to the PELMSN program.
  • Assist with admissions and tracking and reporting student progression data, licensure preparation milestones, and clinical placements in coordination with the clinical placement coordinator.
  • Manages the admissions process in Slate and other systems to support students.
  • Leads the planning, implementation, and continuous improvement of onboarding and orientation activities for students in the PELMSN program, in close collaboration with the Program Director. This includes independently designing processes, managing logistics, ensuring alignment with program goals, and enhancing the overall student experience from admission to matriculation.
  • Drafts program-related communications, announcements, and updates for students and faculty.

Data Reporting and Analytics

Essential Tasks:
  • Create integrated reports and professional presentations by extracting and merging data from multiple platforms (e.g., Banner, Excel, Smartsheet) to inform decision-making and strategic planning.
  • Prepare specialized reports and customized data sets for School of Nursing leadership, faculty, external accreditors, and the North Carolina Board of Nursing.
  • Research, compile, interpret, and present data findings to Program Directors and other internal or external stakeholders in support of academic program management and compliance.
