We are seeking a highly organized and detail-oriented **Project Coordinator** to support our Global Marketing Team in managing large, cross-functional projects. This role will be instrumental in driving project execution, ensuring deadlines are met, and expanding our use of **Asana** to improve task prioritization, collaboration, and efficiency. The ideal candidate will have Asana experience and a strong background in project coordination, with the ability to streamline workflows, manage timelines, and facilitate cross-team alignment. Additionally, this role will help develop clear and thorough project and creative briefs to ensure all stakeholders are aligned on project scope, objectives, and deliverables.

This role will collaborate closely with stakeholders across **Europe, Latin America, and the United States** , so strong **time management skills** are essential to ensure maximum effectiveness during overlapping business hours.

The **ideal candidate** will be located **in or near Everett, Washington** , and work in a **hybrid model** , with in-office presence **Tuesday through Thursday** to support in-person collaboration and alignment with local teams.

We are also open to considering **qualified remote candidates** based in the U.S. who can **flexibly manage their time** to support a global team and maintain strong communication across time zones. Occasional travel to the Everett office may be required for key meetings or planning sessions.

**Key Responsibilities:**

+ **Project Coordination & Execution:**

+ Support the planning, execution, and tracking of large-scale, cross-functional marketing projects.

+ Collaborate with multiple teams to define project goals, deliverables, and timelines.

+ Monitor project progress, identify roadblocks, and escalate issues as needed.

+ **Brief Development & Scope Definition:**

+ Partner with stakeholders to draft clear and detailed project and creative briefs that outline objectives, deliverables, timelines, and success metrics.

+ Ensure briefs clearly define the scope of work, required resources, and dependencies to prevent scope creep.

+ Collaborate with creative and marketing teams to refine briefs, ensuring they are actionable and aligned with project goals.

+ **Asana Platform Management & Optimization:**

+ Serve as the Asana Ambassador, guiding the marketing team in optimizing and expanding their use of the platform.

+ Help accelerate the adoption and expansion of Asana AI Studio in daily workflows, identifying opportunities to automate tasks, enhance productivity, and improve efficiency.

+ Create and maintain project templates, workflows, and automation to streamline task management.

+ Provide training and support to team members on advanced Asana features, driving consistency and adoption.

+ **Process Improvement:**

+ Identify and implement best practices and scalable processes to enhance project management efficiency across the global marketing organization.

+ Develop and maintain rules, workflows, and automations that streamline project intake, task management, and reporting in Asana.

+ Design solutions that improve visibility into team capacity and workload, enabling better prioritization and resource planning.

+ Document and continually improve standard operating procedures (SOPs) that ensure consistency and clarity in execution.

**Communication & Collaboration:**

+ Act as a liaison between Product Marketing Managers, Field Marketing Managers, Functional Team Leaders, and operations, ensuring clear communication and alignment on project goals and timelines.

+ Attend and lead the bi-weekly PPL Review meeting with leadership, where the team reviews workload and capacity to determine if new requests can be accepted.

+ Review the new request queue, track decisions, and document outcomes.

+ Send a summary email to the global marketing organization after each meeting, informing them of the decisions made.

+ Prepare and present project status reports to stakeholders, highlighting key milestones and risks.

**Qualifications:**

+ 2-4 years of project coordination experience in a marketing or cross-functional environment.

+ Proven ability to write clear and effective project/creative briefs that define scope and objectives.

+ Advanced Asana proficiency with the ability to build complex workflows, automate processes, and train others.

+ Strong organizational skills with a keen eye for detail and time management.

+ Excellent communication skills with the ability to collaborate across teams.

+ Experience with Agile or Scrum methodologies is a plus.

+ Proficiency in Microsoft Office (Excel, PowerPoint), Miro

**Preferred Skills:**

+ Experience working in a global or matrixed organization.

+ Strong understanding of workflow automation and process optimization, especially within project management tools like Asana.

+ Proven ability to design scalable systems that support capacity planning, team visibility, and request prioritization.

+ Experience with Asana AI Studio or other AI-powered productivity tools is strongly preferred.

+ Familiarity with HTML, JavaScript, or Asana developer tools/APIs to support custom automations and integrations.

+ Experience using Miro to brainstorm and collaborate with stakeholders to design flow charts and processes

+ Ability to manage multiple projects simultaneously and adapt to shifting priorities.
