Contract Administrator - Houston

This position is accountable for administrative clerical and project support for Orion Marine Construction.

This includes developing bid packages, providing support for project costs submittals for materials and services, reviewing project plans and specifications, providing schedules for project work activities, and helping to ensure successful project completion and close-out documents. The incumbent will work closely with the Chief Estimator, VP of Operations, and other members of the Project Management Team to prepare, organize, proofread, and deliver proposals.

The incumbent must support the guiding beliefs and core values of Orion which are centered on Safety, Quality, Delivery, and Teamwork, most importantly with each built upon the all-important foundation of Integrity.

SPECIFIC RESPONSIBILITIES

  • Reports to and works closely with the Chief Estimator to provide contract project support and preparation of reports, scheduling, submittals, invoicing, change orders, and administrative project setup in a variety of areas.
  • Assists in the update of the weekly project report that lists current jobs that Orion Construction LP is working on, as well as the weekly equipment rental report.
  • Assists in the update of the weekly report reflecting potential upcoming projects that the Company plans to bid.
  • Maintains a working file on all bid proposals and supplemental documentation that Orion Construction LP has submitted.
  • Provides contract administration support for the Chief Estimator and maintains a file(s) for those customers in which the Company has been awarded a contract.
  • Maintains a permanent file on all marine projects that Orion Construction LP has completed.
  • Inputs all job information, cost codes, and budgets into Spitfire for the Accounting Department.
  • Tracks and maintains files on Certificates of Insurance for Orion Construction and ensures that required information is conveyed to Orion Marine Group.
  • Participates in Project Manager Meetings and updates information to provide the most current status reports.
  • Provides support in the development of bid proposals or formal reporting for upcoming projects.
  • Provides support in the estimated costs to be incurred in upcoming projects, accounting for materials, services, labor, and other associated costs.
  • Reviews project plans and specifications.
  • Possesses the qualifications and physical ability to drive regular passenger vehicles to deliver bids and proposals, attend meetings, or visit work locations to job sites.
  • Participates in Safety and Environmental initiatives that will contribute to compliance with State/Federal regulations and improve existing Company programs.

  • All employees, current and former, must maintain confidentiality by not disclosing to others any confidential, proprietary, or trade secret information belonging to the Company.

POSITION REQUIREMENTS

A minimum of two (2) years' experience performing office administration functions. The incumbent must have computer proficiency with a working knowledge of Microsoft Word, Excel, and PowerPoint, Adobe, Salesforce, (Bluebeam is a plus) and be able to word process at least 50 WPM.

The position also requires good interpersonal skills and the ability to effectively relate to employees at all levels of the organization.

In addition, the incumbent must be well organized and be a self-starter with the ability to work with minimal supervision. Must be flexible with the ability to adjust to sudden changes in work priorities. Must also have the ability to prioritize work to accommodate those changes.

PHYSICAL/MENTAL REQUIREMENTS

The incumbent must be able to perform the essential functions of the job with or without reasonable workplace accommodation.

The individual must also be able to wear and properly utilize appropriate personal protective equipment (PPE) to work or visit within areas where it is required. This includes hard hat, safety glasses, respirators, ear plugs, steel-toed shoes, or other protective equipment as required by the work performed and location the work is being done.

The incumbent must possess the ability to remain calm during emergencies and respond appropriately as dictated by the circumstance of the incident and as directed by the Safety Representative or other management personnel. Must be capable of evacuating the work area in a timely manner should an emergency situation arise.
