Key Responsibilities Position Summary: Under the guidance of the Director of Operations, the Building Manager is responsible for keeping the building and grounds in compliance and a good working order to maintain a safe, clean, and healthy environment for students, staff, and visitors. The Building Manager is responsible for ensuring effective and efficient day-to-day facility operations, running preventative maintenance, handling vendors to provide building services, coordinating and managing security activities, and ensuring the facilities meet regulatory standards and codes. This position is critical to the school's operation, and the duties are many and varied. Every classroom contains a refrigerator, dishwasher, and microwave that may require periodic repair or maintenance. Each summer, the building manager will undertake painting, wall repairs, hanging items on walls, and pulling up or repairing flooring tiles as part of annual upkeep. Typical working hours are Monday from 8:00 AM to 4:30 PM and Tuesday through Friday from 8:00 AM to 4:00 PM. Essential Functions and Responsibilities: The Building Manager is a 12-month position. Typical working days are Monday-Friday with hours from 8:00 am-4:00 pm. Responsibilities include the following: School Safety Maintain a safe, clean, and inviting school for students, visitors, and staff Conducts and documents inspections of school facilities to evaluate the physical condition of buildings, equipment, and grounds Ensure doors and keys are functional and available for every door Ensure proper operation of building systems, including (not limited to) HVAC, Electrical, Plumbing, Fire Life Safety Systems, hardware, security (including arming and disarming the building as needed), etc. Receive, store, distribute, and inventory supplies, materials, water, and equipment Strategically plan how to effectively utilize contract janitorial staff and facilities vendors to ensure the school is consistently clean and safe Responsible for scheduling annual inspections for all relevant equipment with contracted vendors Support school safety by serving as a crossing guard during the school year to provide a safe route for students and families, and student arrival and dismissal procedures Attend to building emergencies outside of regular school hours Maintain knowledge regarding methods of industrial cleaning, safety practices and procedures, and health standards and hazards Assist in ensuring compliance with regulations Take the lead on Inspection and Code Compliance (fire, elevator, boiler system, etc) Maintain up-to-date building documentation and certifications (elevator, fire inspections, sprinkler inspections, etc.) Ensure that the building is safe, inspect for indoor/outdoor cleanliness and maintenance issues, and assess internal temperatures Vendor Management As appropriate, solicit and analyze proposals from contractors to perform various repairs and special maintenance for recommendation to the Director of Operations Check and verify completion of vendors' work aligned with original quotations and executed contracts Assists in maintaining an up-to-date facility vendor contact list Operate, maintain, and supervise custodial functions for either vendors or contractors Direct vendors as necessary onsite to manage the repair and maintenance of building mechanical systems Facilities and Supplies Perform and oversee building and grounds maintenance Hands-on, day-to-day operation of building systems with electrical and plumbing troubleshooting and minor repairs and maintenance Maintain and organize equipment and related building supplies Responsible for maintaining preventative maintenance schedules for all equipment and building systems in line with the building plan Provide input on recommended maintenance, mechanical, electrical, and facility design modifications Assist in moving furniture and items as needed for staff and special events Responsible for disassembling defective equipment and repairing or replacing with the necessary parts Advise school management when a repair requires major work from a maintenance contractor Escort maintenance personnel to appropriate location for repairs Organize package delivery personnel to the appropriate off-loading area(s) or personnel Works with Director of Operations to determine priorities of action required for repairs and preventative maintenance, sanitation standards, and installations Track and communicate the status of project requests to requestors and other interested parties to ensure timely feedback and accountability Maintain manual and electronic documents, files, and records (inspection records, timesheet, work orders, and requisitions, supplies, chemical storage, crisis management data, security controls) to document activities and ensure an up-to-date reference Ability to work overhead and climb ladders, crouched positions, basic carpentry skills, walk staircase and lift up to 80lbs Support maintenance of classroom appliances (refrigerators, dishwashers, microwaves) and coordinate repair as needed Lead and complete summer facility tasks such as painting, wall repairs, hanging items on walls, and repairing or replacing tiles and flooring materials Take out garbage and sweep. vacuum, and mop assigned rooms, bathrooms, and hallways Maintain the main school kitchen and staff lounge by cleaning all areas, mopping, taking out trash, cleaning out refrigerator once a week, before school breaks, holidays, and vacations Take assigned trash to the dumpsters located outside the building Work with the vended cleaning team to clean windows, spot clean doors and walls daily Other Attend and participate in Operations team meetings Assist with meeting set up of tables, chairs, and AV equipment Provide a schedule and procedure for laundry facilities Review the facility work order database and update when jobs are completed Be available for on-call facility issues on evenings, weekends, and as needed Lift packages and other heavy materials and equipment Remove snow and ice by shoveling, plowing, and/or sanding walks, driveways, parking areas, and steps before and during conditions Serve as a role model for students and staff in demonstrating positive attitudes, appropriate attire, and grooming, and an effective work ethic Required Competencies and Qualifications: work a full 8-hour schedule on a regular basis Education and Experience: Minimum high school or GED required; Associate degree preferred Montessori experience or willingness to learn about the method and support its implementation Experience working with diverse populations of students, parents, and families BOMA certification preferred At least ten years of experience as a building manager or in a similar role Must have knowledge of building facilities such as plumbing, electrical, HVAC, and other building functions. Must be able to work well with others as a part of a team, while exhibiting strong leadership qualities.
