Ideal candidate will have the following:
- Familiarity with HVAC, electrical, plumbing and general building systems in a commercial or healthcare environment.
- Understanding of regulatory requirements and best practices for maintaining critical infrastructure.
- Proficiency with Computerized Maintenance Management Systems, preferably IBM Maximo, SAP PM, or similar platforms.
- Analyzation of work order data and detail scheduling for maintenance activities pertaining to vendors and in-house staff
- Understanding of Reliability Centered Maintenance in a healthcare environment
JOB SPECIFIC COMPETENCIES
Work Management:
* Administers work orders and requests for service; prioritizes work according to urgency and resource requirements, and reports on the progress and completion of work orders and request request documentation through Maximo (CMMS) System. Maintain records and files for reporting, ensures required information is evident on planned work orders to maintain compliance needs and allow analysis by preserving records and database information of work scheduled and completed. Generate P and R work orders Follow-up to verify completion of work order, attaching any documentation, images, etc. submitted after work is completed. May complete the work management lifecycle by closing work orders. If it is a regulatory PM, ensure/validate information to fully demonstrate compliance (Binders/Electronic/COH Website, etc.) for audits.
Scoping and Job Planning, Materials Management:
* Coordinates with work requestors, develops scope of work including safety protocols, work instructions and estimates of labor hours, manpower, parts, materials, equipment, and with Supervisors or craft technicians. Works with the requestors to identify access issues or maintenance and operating times in order to identify a possible outage required to schedule upcoming planned work and submit an outage request if required. Verifies availability of parts and materials in Maximo (CMMS) or directly through the vendors and the Warehouse or indirectly from vendors and contractors. Follow-up to verify completion of work, and reporting of actuals (Labor, Materials, Services, Tools). Analyze planned estimates vs actuals and total schedule costs to move planning, scheduling, and execution, of work towards continuous improvement of future planning efforts. Facilitate the development of the PM program by working closely with supervisors and technicians to review equipment descriptions, spare parts lists, PM frequencies, task requirements, safety protocols and permit needs, materials, and asset information for uniformity, accuracy, and completion. Build, correlate and examine the PM Master Schedule and determine its forecasted cost to compare against executed cost Create PM programs in Maximo (CMMS) to ensure the maintenance plan is in compliance according standard operating procedures. Review PM work plans periodically to ensure required revisions are made when a procedure is updated or equipment performance requires a change in its maintenance schedule. Maintain the various task documents to accurately reflect the work to be performed and safety procedures are adhered too. Analyze data to determine contractor or in house decisions on scoped jobs. Establish short- and long-range plans by analyzing resource availability, utilization, and backlog of work. Provide customer service by communicating and coordinating information about personnel, material, and time to accomplish facility maintenance and project work on a priority basis. Coordinate cost, work data, adherence to schedule, and overall status among clients, contractors, technicians, supervisors and other Facility Services departments. Verify availability of parts and materials in Maximo (CMMS), through vendors and the Warehouse or indirectly through WCC Office. Follow-up on all and promote workflow. Confirm receipt of parts ordered parts and materials to to ensure job can be completed as scheduled. Stay current on the functionality of the OAM Warehouse, materials tracking, and inventory control issues to gain increased knowledge and control over inventory and associated processes. Take the initiative to develop improvements in the OAM Warehouse. Identify, plan and recommend better inventory levels for popular items, long lead-time items, parts for critical equipment etc. Execute programs to stock items in the common warehouse as opposed to keeping stock in the individual Shops. In the absence of WCC, perform Accounts Payable, invoice tracking and procurement functions as well as obtaining information to set up outside vendors in PeopleSoft system.
Develop, Maintain & Communicate Work Schedules:
* Assign and Schedule "A" and "P" work orders in Maximo CMMS; including contractor and vendor work. Load level resources across a schedule to coordinate work activities with internal departments, external entities, and vendors when dispatching work assignments to the Physical Plant Supervisors. Working with the Physical Plant Supervisors; develop, maintain, and communicate a work schedule for the various craft technicians or groups taking into account each equipment type, crafts required, available hours, load leveling, work location, work status, etc. Build, correlate and examine the PM Master Schedule. Create cost, work data, and status of a schedule among clients, contractors, technicians, supervisors, and other Facility Services departments. Create, print, and distribute work packets to accompany each technician's schedule. Follow-up with supervisors, technicians and WCC's to concentrate on scheduled work orders, due dates, schedule feasibility and backlog of work to be completed. Participate and contributes in weekly "A" and "P" work order review and scheduling meetings. Provide a summary of work orders costs, and backlog man hours by planned Craft for each shop, allowing for quicker response to customer requests and a shorter close-out time for "A" work orders. Monitor and sustain work progress by tracking schedule adherence, impact on resources break in and break out work orders and crew status. Verify availability of parts and equipment; ensuring mandated inspections are scheduled, completed, and rescheduled as related to activities due to downtime. Maintain liaisons with field supervisor and other management personnel regarding work execution, necessity of altering schedules, and manpower status.
Create Reports and Data Integrity:
* Build queries and manipulate database information to answer questions on demand. Audit data files in Maximo (CMMS) for accuracy,
prepare lists and check documents. Design effective, productive written reports/data through Maximo Ad Hoc Reporting. Work closely with supervisors and technicians to review equipment descriptions, PM frequencies, task requirements, spare parts lists, materials, and asset information for uniformity, accuracy, and completion. Apply knowledge of Maximo (CMMS) Ad Hoc Reporting, Excel and other software by designing Performance Scorecard Report which captures and measures significant Key Performance Indicators (KPIs). Advise on ways to improve performance. Be able to perform all functions in Maximo (CMMS) and become the Subject Matter Expert (SME) in Maximo (CMMS) and the work order process. In the absence of Work Control Coordinator, Data Entry Operator, or other staff performs key functions when requested. Design & Provide Training on Maximo (CMMS) and related Ad-hoc reports. Using a formal class setting, train other personnel to use the Maximo (CMMS) System. Use the formal Maximo training platform to educate other personnel about work control techniques.

EDUCATION:
Required: Associate's degree in a technical field or a journeyman's license in one trade.
EXPERIENCE:
Required: Three years experience in construction requirements, maintenance, estimating, project management or scheduling in a plant or large facility maintenance environment. May substitute required education degree with additional years of equivalent experience on a one to one basis.
