Who You Are: The Systems Optimizer & Accountability PartnerYou are a natural-born organizer who finds deep satisfaction in a well-run system. You see processes not as bureaucratic red tape, but as the essential framework that enables teams to do their best work and reduces stress for everyone. You are the person who instinctively creates checklists and finds flaws in a workflow, not to criticize, but because you genuinely want to make it better.
- Process-Driven: Your first instinct when faced with a problem is to consult the process document. You believe in having a single source of truth and will naturally champion its use.
- Meticulously Detail-Oriented: You don't just tolerate details, you enjoy them. The idea of auditing a project against a multi-point checklist is satisfying, not tedious.
- Diplomatically Assertive: You are not afraid to hold people accountable, but you do it from a position of partnership, not dictatorship, framing conversations around objective data.
- A Proactive Problem-Solver: You don't just flag problems; you dig in to understand the 'why' and take the next step towards a solution.
- Unflappable and Objective: You can handle the stress of a struggling project or a frustrated team member without becoming emotionally invested, acting as a stabilizing, data-driven force.
- Process Adherence & Accountability: Serve as the primary owner and enforcer of our "ClickUp Master Guidelines & Process Document," conducting weekly project health audits to ensure compliance.
- Proactive Project Health Monitoring: Continuously monitor project health using metrics like Burn Rate, activity levels, and client satisfaction, identifying and flagging risks before they become problems.
- First-Line Support & Problem Solving: Act as the first point of escalation for Project Managers and Support Teams, triaging issues, providing solutions, and unblocking the team.
- Sprint & Workflow Management: Oversee our bi-weekly sprint lifecycle, ensuring tasks are properly prepared for Sprint Planning and are moving correctly through the workflow.
- Financial & Administrative Oversight: Conduct weekly time audits (using Harvest) to ensure accuracy in logging and billing, coordinating with the Business Office for project closeout.
- Proven experience in an operations management, project management, or a similar role focused on process improvement and execution.
- Deep, hands-on expertise with project management software, preferably ClickUp .
- A strong understanding of project management methodologies (e.g., Scrum, Sprints).
- Exceptional organizational skills and an obsessive attention to detail.
- Demonstrated ability to hold team members accountable to a process without direct managerial authority.
- Strong, diplomatic communication skills; able to act as a firm but fair liaison between team members and leadership.
- Experience with time-tracking and billing software like Harvest is a plus.
