SUMMARY

The main duty is to manage assigned administrative and reporting tasks effectively and to ensure reports are delivered on time, on budget, and to agreed quality standards.

Duties of a coordinator include managing standards, procedures, and practices of record-keeping of all the agreements and contracts for the project in support of the PMO team.

Since there are multiple aspects in a project on which work is going on, it is the duty of a project coordinator to be a member of all teams and participate actively in the working of various areas including time tracking and reporting, financial tracking, reconciliation, client interface with financial reports, billings.

He/she primarily acts as an assistant of the Director of the Program Management Office.

ESSENTIAL DUTIES AND RESPONSIBILITIES MAY include, but not limited to the following:

ADMINISTRATIVE

Coordination with Back Office

o Filing PAFs

o PTO reporting to office (actual employee forms)

o Participate in weekly administrative meetings with the Program Management Office Team

o Assist with coordinating meetings and/or work with DLU on training sessions.

o Receive training on new initiatives such as new software, programs, processes

o Coordinate with HR on new hires/employees' form requirements or sensitive information for weekly reporting.

Employee Relations

o To compose an employee infraction system proposal

o Coordination of employee infraction forms to HR

Reporting

o Responsible for submitting weekly, monthly and YTD Reports for time keeping and billing.

o Submitting billing reports for approval weekly

o Assisting Diretor with Monthly Project Projections/Forecast Report

o Daily Employee timesheets data entry

o Weekly reviews with a PM/Superintendent regarding the Contractors hours on timesheets vs their agency submitted timesheets for the Site if needed

o Task Hindrance weekly updates

o Prepare and submit the provisioning request forms to customer for new employees or employees who require client electronic tools (phones, laptops)

o Site access requirement filing

o Adhere to our Egnyte layout folder structure per project,

o Uphold a strict level of confidentiality; Develop and sustain a level of professionalism among staff, customers, and vendors.

If applicable: Implement New Construction Processes

o Mobilization training: receive training and implement new construction projects processes and reporting include but not limited to:

Onsite Pre-setup (Administrative reporting, create templates for timekeeping, weekly reporting, and monthly billings; Office supplies coordinated, Equipment requests through back office or with client, Request for Site access with client; Teach the PM & Superintendent/Foreman how to report task strings on timesheets.)

Administrative/Financial Reporting (weekly, monthly, and YTD reporting)

QUALIFICATIONS

Ability to handle sensitive/confidential information and be discreet,

Computer knowledge of Microsoft Office: Excel, Word, Outlook Mail, Internet Explorer, Adobe Acrobat required

High level of proficiency in Excel required including data mining, report construction, Pivot tables and VLOOKUP experience,

Proficient understanding of wage and hour regulations

Intermediate Understanding of Accounting is helpful

Must be able to type at least 55+ WPM

Excellent planning and organization skills

Well-developed interpersonal and communication skills, both written and verbal

Strong ability to cope with difficult situations calmly and professionally,

Strong attention to detail

Courteous and professional attitude with experience in dealing with the client base,

Advanced mathematic skills

Excellent attendance/on time record

Excellent follow-through and ability to complete tasks on short deadlines,

Excellent communication skills

EDUCATION and/or EXPERIENCE

2 years of Administrative Role Required

Associates or Bachelor's Preferred

PHYSICAL DEMANDS

7. Since air travel may sometimes be required, the incumbent must be able to fly for up to periods of 6 hours between take-off and landing. Normal air travel conditions will exist much of the time, but occasional bad weather could make flight uncomfortable for some.

CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The starting pay for the Project Coordinator position is $30.00 hourly to $35.00 hourly. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience. Successful candidates will also be eligible for a discretionary bonus based on CBRE's applicable benefit program. This role will provide the following benefits: 401(K), Dental insurance, Health insurance, Life insurance, and Vision insurance.
