Hiring Manager: Mike Stock, Director of Facilities If you have questions regarding a job posting, contact the Office of Human Resources @ ... or email Job Summary : Under the direction of the Facilities Manager, the Facilities Assistant Manager supervises the day-to-day activities of Utility Support Technicians (USTs) and directs in-house vendors on small projects throughout the district. This role involves working with the UST Lead to plan daily activities and supervise assigned staff to ensure departmental efficiency, budget compliance, and the creation of a safe environment for students and staff. The Facilities Assistant Manager ensures compliance with applicable District policies, standards, and regulatory codes. Essential Functions: Ensure compliance with all OSHA, District, city, state, and federal regulations. Manage, supervise, and evaluate the daily activities of UST staff across all district buildings, as well as work orders assigned to in-house vendors. Enforce quality control standards and procedures for all tasks assigned to the UST department. Responsible for sourcing, selecting, and onboarding all new UST hires in conjunction with the Facilities Manager. Manage training, discipline, and discharge of personnel as required. Coordinate facility staff activities to utilize materials and equipment in a safe, effective, and efficient manner. Collaborate with Facilities Managers and other Assistant Facilities Managers to ensure efficient and effective operations across the division. Provide technical review and analysis of HVAC and Carpentry products, materials, and equipment used by UST personnel. Direct and manage maintenance work orders for Carpentry, HVAC, Electrical, Grounds, and other non-custodial vendors. Monitor inventory of equipment and supplies used in repair and maintenance activities. Conduct site visits and inspections of all district facilities to ensure UST-assigned projects are completed. Develop an audit process to verify district-wide preventative maintenance is performed. Stay current with HVAC and Carpentry technologies and best practices. Oversee district pools and assist the Lead UST with purchasing supplies and coordinating repairs. Conduct one-on-one and group meetings with the UST Lead and USTs. Ensure compliance with all applicable human resources policies and procedures. Serve as the first line of response to emergency building maintenance calls. Make independent decisions on response, dispatch personnel, and assist as needed. Enter purchase orders and receive invoices in Skyward for UST department work. (Skyward training will be provided.) Oversee the clock/bell time systems for 32 district buildings. Interact with principals, custodians, administrative staff, teachers, students, Athletic Directors, building activities and rental staff, contractors, fire and police departments, and various vendors. License Requirement : Minimum Requirement: High School Diploma or equivalent. Preferred: Bachelor's degree in Facilities Management, Engineering, Construction Management, Business Administration, or a related field. Certifications (Preferred but not required): Certified Facility Manager (CFM) Required: Valid MN driver's license Qualifications: Minimum: 5 years of progressively responsible experience in facilities maintenance and management. Preferred: Experience managing facilities in a public school system or other public sector environment. Experience working in a unionized environment. Demonstrated success managing multi-site operations and large teams. Required Skills: Proven ability to create and maintain accurate records and tracking systems. Strong conflict management and mediation skills. Effective delegation skills with the ability to provide clear direction and support to team members. Demonstrated attention to detail in all aspects of work. Ability to manage multiple tasks and adapt to changing priorities. Experience leading and working collaboratively with a diverse team of supervisors, staff, and external consultants. Thorough knowledge of established policies, protocols, and procedures, with the ability to ensure organizational compliance. Excellent written and verbal communication skills, with the ability to interact effectively at all levels. Knowledge of federal, state, and district regulations related to public school facilities, maintenance, construction, and health and safety, with the ability to apply these regulations to maintain compliance. Ability to clearly articulate district and site expectations. Capacity to perform effectively under pressure while managing multiple, shifting priorities and meeting deadlines. Exceptional customer service skills, including conflict resolution, responsiveness, and follow-through. In-depth understanding of the maintenance contract, with the ability to evaluate, communicate, and administer it in a way that protects district interests and resources. Ability to handle sensitive and confidential employee information with discretion. Availability to respond to emergencies outside of normal working hours. Strong ability to communicate ideas and directives clearly and effectively, both verbally and in writing. Commitment to delivering outstanding customer service. Physical requirements: This position may encounter, but not limited to the following activities: talking in person/on phone, hearing, sitting, reaching, crouching; kneeling; shoveling; working in narrow and/or confining spaces: underground, overhead, and at ground level; twisting of the waist, shoulders, and legs; and lying on stomach and/or back.
