Job Objective
  • Perform a range of administrative duties from routine to moderately complex.
  • Support internal teams, clients, and management through clerical, scheduling, and operational tasks.
  • Work under moderate supervision with increasing independence based on experience.

Key Responsibilities

  • Prepare, draft, and edit correspondence including emails, letters, memos, transmittals, and meeting minutes.
  • Format documents and reports for consistency, accuracy, and professional presentation.
  • Proofread documents for grammar, punctuation, and spelling errors.
  • Print, copy, bind, and compile reports and deliverables for internal and external use.
  • Support production and marketing teams with administrative tasks and document preparation.
  • Process timesheets, expense reports, and administrative forms as needed.
  • Respond to written inquiries and service requests in a timely and professional manner.
  • Answer, screen, and direct incoming calls; manage fax communications.
  • Greet and direct visitors; maintain visitor and employee sign-in records.
  • Organize and maintain both electronic and paper files in accordance with company retention policies.
  • Schedule and coordinate meetings, travel arrangements, and appointments.
  • Assist with planning and logistics for conferences and office events.
  • Manage conference room bookings and catering needs.
  • Monitor and maintain cleanliness and organization of common office areas.
  • Order and stock office supplies; manage incoming and outgoing mail.
  • Support procurement processes and assist with invoice tracking and vendor follow-up.
  • Upload and download documents to and from platforms such as SharePoint, eRoom, and SFT.
  • Compile data and documents from various sources for staff review and action.
  • Perform other administrative duties as assigned.
Skills and Abilities
  • Proficient in Microsoft Office applications.
  • Basic knowledge of Adobe or Bluebeam is preferred.
  • Strong written and verbal communication skills.
  • Ability to multitask and manage time effectively.
  • Attention to detail and accuracy in all tasks.
  • Ability to work independently and collaboratively in a team environment.
  • Strong organizational and follow-through skills.
Minimum Qualifications
  • High school diploma or equivalent.
  • 0 to 2 years of administrative experience.
  • Equivalent additional experience may be considered in lieu of formal education.

Pay and Benefits

The pay range for this position is $20.00 - $24.00/hr.
