Essential Functions and Primary Duties

  • Communicate directly with clients to collect information, such as engagement letters, Third-Party Authorizations, 7216s, and POAs
  • Participate in select client meetings alongside Directors and Managing Directors; document action items, receive, index and route documents received to document management systems and manage deliverables through completion.
  • Manage client deliverable timelines and expectations, ensuring regular communication and status updates via email, phone, and virtual platforms.
  • Serve as liaison between clients and engagement teams verifying final deliverables.
  • Troubleshoot delivery issues and educate clients on firm systems, document sharing, and timelines to support timely completion.
  • Manage, triage, and prioritize a high volume of electronic communications (Outlook, Teams) for multiple managing directors.
  • Assist Directors and Managing Directors with client onboarding to ensure the accuracy and timeliness of the process.
  • Master firm workflows and software systems (e.g., Practice Engine, CCH Axcess, Adobe, Concur, Docuware, Amelio, Caseware, etc. to proactively address bottlenecks and ensure deadlines are met.
  • Coordinate internal and external events, meetings, and training logistics.
  • Support internal communication by establishing regular check-ins and updates with teams.
  • Collaborate with regional and national operations teams to produce, format, and edit letters and other client documentation as needed
  • Utilize firm software to access and save data and documents in electronic format
  • Provide first-level support for team members' technology and process related questions.
  • Coordinate engagement priorities and project timelines with internal Resource Management and scheduling teams.
  • Master internal processes and systems to ensure every task moves smoothly from start to finish. Proactively seek solutions when process bottlenecks or system issues occur.
  • Ensure collaboration and connection on shared tasks across industry and service line teams.
  • Update various tracking systems to ensure all projects are properly filed, including generating reports as needed.
  • Management of various special projects, including working with others to ensure quality and timely completion.

Preferred Qualifications

  • Three to five years of demonstrated success in managing projects and providing high-level administrative support.
  • Prior experience working in the public accounting industry strongly preferred.
  • Excellent attention to detail and superior customer service and interpersonal skills
  • Advance knowledge of Microsoft Office programs
  • Advance professional written and verbal communication skills
  • Discrete concerning confidential or sensitive information
  • Ability to work in the office daily
  • Ability to demonstrate professionalism when working with internal staff and clients
  • High attention to detail and accuracy
  • Resourceful and a team player
  • Ability to effectively multitask, prioritize and manage workflow for multiple team members and projects.
  • Ability to work effectively in a fast-paced environment and proactively anticipate the needs of others.

Minimum Qualifications

  • HS diploma or GED required; Bachelors degree in Business, Economics, Statistics or relevant field preferred
  • 3 years of relevant experience
  • Must possess analytical skills
  • Must be able to comprehend, manipulate and interpret statistical data
  • Demonstrated ability to communicate verbally and in writing throughout all levels of organization, both internally and externally
  • Proficient use of applicable technology

The annual salary target for this job in this market is $102,000-$150,000. The specific compensation for this role will be determined based on the education, experience, and skill set of the individual selected for this position.
