Position Summary
The ANA is looking for a detail-oriented Associate Project Manager to support our Marketing Capabilities Council and other Talent events and content. This role will support the SVP/Global Lead, Talent Practice in event management (virtual & in-person), communications relevant to the Marketing L&D industry, and supporting other events or projects as assigned. S/he will also support broader Talent Practice functions, alongside a broader team. This individual must be organized, a self-starter, and able to handle multiple tasks accurately and on time. Must have initiative and a proven work ethic; strong written and oral communication skills along with the ability to prioritize and efficiently manage their time. MS Office Suite skills are required, with a strong emphasis on Microsoft Excel and Power Point. Primary Responsibilities
  • Timely delivery of weekly newsletters (manage contents and cadence; devise and enhance newsletter voice and inputs; identify opportunities for growth and/or improvement)
  • Manage all virtual and in-person events for the ANA Marketing Capabilities Council: plan, organize, and implement successful events (ensure room assignments, Zoom logistics, onsite food and beverage and other logistics are properly tracked and executed).
  • Manage all logistics for ANA Global Learning Live Workshop Track events (including but not limited to: marketing alignment, speaker and technical support collaboration and alignment, and day-of event management without supervision).
  • Support with survey development and deployment and website builds / updates
  • Record and maintain minutes for Council meetings; work with SVP where appropriate to identify thematic direction and/or speakers for Council meetings.
  • Manage unit data reporting on a monthly, quarterly, and ad-hoc basis. Must know MS Excel and be able to execute pivot tables
  • Draft & manage production of related marketing collateral (brochures, web, social)
  • Prepare communications and maintain correspondence with various stakeholders across multiple units, brands, and geographies
  • Maintain unit databases and support regular content asset updates
  • Manage Council LinkedIn group
  • Write and edit letters, reports and instructional documents
  • Contribute to contract edits and related records maintenance
  • Coordinate schedules and manage internal calendars
  • Support in the development of Power Point presentations
  • Provide reliable administrative support (proof-reading, data entry, and website upkeep) for marketing collateral, business reporting, and content development internal processes
  • Act as a liaison to internal stakeholders across the organization on behalf of SVP
  • Manage external relationships with efficiency and poise, representing the organization with the highest level of professionalism
  • Marketplace research as assigned
  • Perform administrative responsibilities such as maintaining files, photocopying, scanning, collating, etc., as needed
  • Some travel required (5%)
Qualifications:
  • Relevant associate or bachelors degree from an accredited institution (or equivalent experience)
  • 2-4 years of prior relevant work experience in a corporate or high-paced office setting
  • Previous experience running virtual and in-person events required
  • Proficiency using Microsoft Office applications with aptitude for learning data and/or CMS / CRM systems. Strong Excel skills required.
  • Strong written and verbal communication skills along with an outgoing, customer service-oriented attitude
  • A detail-oriented self-starter with experience as a coordinator or comparable position in a service-oriented environment with experience in preparing meeting materials, coordinating schedules, formatting data in Excel, and creating reports
  • Proficiency using Zoom, and other virtual platforms
  • Marketing knowledge and/or familiarity with training management are a plus

Salary and Total Rewards Package
Starting pay range: $55,500 to $57,500, based on relevant experience and qualifications.
