Description

Summary:

Closeout Project Coordinator (COPC) is a Project Coordinator that will specialize in Closeout tasks as well as working as a Project Coordinator. They may work on projects at the end of the project or from Pre to Post. Some main responsibilities would be writing, editing, and verifying documents when a project is complete and ready to be signed off as completed; owning and updating a Project Closeout Standard Operating Procedure (PCSOP) that would consist of the basic framework for closing out Day Wireless's Projects in a territory and/or State or Country.

The PCSOP would be customized for each project based on the contract requirements. The COPC may be assigned to multiple projects, in various stages, where local project resources will be identified to champion project closeout. This position would require assisting in the closeout of existing projects and driving closeout on new projects from the start, placing an emphasis on "begin with the end in mind".

You will prepare a range of documents within a collaborative environment. You will be asked to present complex information into a coherent, cohesive, and succinct manner after verifying the work has been done.

This is a detail-oriented position responsible for capturing Project Deliverables and/or PCSOP through formal documentation.

Essential Duties and Responsibilities

Possess the ability to digest contract documents and determine project closeout requirements
Modify the PCSOP to conform to specific project requirements, inclusive of deliverable matrices and associated milestone(s)
Create complete technical descriptions based on verbal and partially written input from various stakeholders
Work as a Project Coordinator on assigned projects by being the point of contact on projects, working with other departments and personnel to make sure projects are within budget and on time as much as possible
Gather project documentations and signatures where needed and update the right departments
Communicate internally and externally to make sure all parties that need to be updated are updated
Must be able to communicate/train project personnel on project closeout requirements
Revise material from multiple sources to maintain consistent tone
Verify technical accuracy of written material
Must be able to liaise with, and delegate closeout activities to project personnel and monitor progress
Collect Cellular Data and technical inputs from Field Service Technicians and capture results/findings in customer facing documents
Must be able to communicate (both in person and through reporting) plans and closeout status to project management and owner representatives
The position requires working closely with project quality control, document control, systems safety and security, various project construction disciplines, subcontractors, project management, owners, etc
Develop or identify a commercially available tool for managing project closeout, deploy and provide training for others
Work with estimating during project pursuit to identify costs associated with project closeout requirements
Continually monitor project results refining/changing strategies and procedures to optimize productivity and effectiveness
Responsible for all reporting and monitoring of closeout packages for completeness and accuracy to the appropriate individuals
Escalates noncompliance through proper channels
Develop, maintain, and distribute "lessons learned" lists as projects are "closed"
Regular and predictable attendance and punctuality are a requirement for this position
Other duties as assigned

Travel Requirements:

Travel to different locations and projects may be required. Expected travel should be less than 10% but may vary at times.

Qualifications:

Two-plus years' experience in project management/coordination and/or a blend of management, projects, construction, and service
Understanding of project and companies' closeout process and requirements.
Managing project closeout, experience throughout the entire project lifecycle preferred.
Development and management of project closeout plans and procedures.
Technical reading and writing skills are strongly preferred
Familiarity with Project/Document Management Software would be ideal
Excellent organizational skills
Ability to build, lead and mentor team members
Experience in project scheduling and Time Impact Analysis (TIA)
Team player; Thinking outside of the box; Solution based.

Excellent written and verbal communication skills
Demonstrated ability to work under tight deadlines and to manage multiple priorities
Solid proficiency with Microsoft Office suite (Word, Excel, PowerPoint)
Background in telecommunications, Low Voltage & Commercial Electrical trades and/or wireless technology industry
Familiarity with engineering terminology and technical concepts
Experience working with Sales, Service Managers, Project Managers and Technical staff
Experience with collaborative document generation is a plus
