POSITION SUMMARY

The Project Coordinator position provides an exciting opportunity to deliver capital projects, on time and on budget, while meeting CHEO and client requirements. You must be self motivated, deadline oriented, builds effective relationships with colleagues and stakeholders. By assisting in the delivery of projects, you will coordinate the planning, design development, project budget development, implementation and evaluation of key facility projects and initiatives. The Project Coordinator will be responsible for working with key stakeholders to develop project plans, track deliverables, update project status reports on low and high complexity projects while assisting in scope definition, schedule and budget development. Being proactive and highly detailed, the incumbent will have demonstrated experience in project management coordination relative to the fields of architecture, design, mechanical and/or electrical disciplines, have excellent communication (both verbal and written) skill, as well as presentation and networking skills.

The Project Coordinator will report to the Senior Project Manager/ Project Manager and assist with the planning and execution of the end-to-end project delivery. You will be part of a project management team who will liase with various Hospital departments, Ministry of Health, City Building Department, vendors etc. to ensure project timelines, deliverables and budgets are met and, ultimately, leading to project success.

This is an exciting time to join CHEO. We are currently redeveloping the existing campus buildings to address code compliances while renewing major infrastructures. Some of our projects include: Sprinkler system implementation program, AHU Asset renewals, building envelope repairs and renewals, Deep Energy Initiatives, expansion and relocation of various departmental programs, Surgical Operating Room Renewals and the preparation of One Door for Care occupancy. In addition to some of these major capital projects, we also implement yearly capital expenditure programs such as VAV replacement program, upgrades to our cafeteria, implementation of a lighting upgrade program, and upgrades to our MRI suite and equipment.

JOB SUMMARY:

Key Responsibilities:

  • Project Planning and Initiation:

    • Development of comprehensive project plans, including scope, budget, schedule, and resource allocation.

    • Assist PM in conducting risk assessment and develop risk registers in consultation with key project stakeholders.

    • Assist PM in coordinating with hospital leadership and department heads to align project goals with organizational objectives.

  • Project Execution:

    • Assist PM during all phases of project implementation, from feasibility, design and construction to commissioning, handover, operational readiness and move management.

    • Assist in management of project teams, including architects, engineers, contractors, and subcontractors.

    • Ensure compliance with all regulatory requirements, hospital policies, and safety standards.

  • Technical Aspects:

    • Utilize advanced project management software and tools to track progress and manage resources.

    • Understanding the mechanical, electrical, med-gas and other infrastructure elements at the hospital

    • Assist the PM with the integration of sustainable design principles and energy-efficient technologies in project execution.

  • Contractual Aspects:

    • Coordinate with CHEO procurement department for procurements of services and FF&E and participate in procurement posting activities, evaluations and award.

    • Development of scope of works and evaluation criteria in support of procurement activities.

    • Assist in Administration of standard contracts such as CCDC, OAA and CHEO service agreements etc.

    • Assist the PM in addressing any contractual disputes or issues promptly and effectively.

  • Budget and Change Management:

    • Monitor project budgets and control costs to prevent overruns.

    • Track expenditures, ensuring financial accountability.

    • Undertake the tracking, review and implementation of change management.

  • Stakeholder Communication:

    • Serve as the primary point of contact for project stakeholders, including hospital staff, and external stakeholders.

    • Provide regular updates on project status, addressing any issues or concerns promptly.

    • Facilitate effective communication and collaboration among project team members.

  • Quality and Performance Monitoring:

    • Implement quality control measures to ensure project deliverables meet specified standards.

    • Conduct regular site inspections and audits to monitor progress and compliance.

    • Address any deviations from project plans and implement corrective actions as needed.

  • Reporting Aspects:

    • Prepare detailed project reports, including progress updates, financial summaries, and risk assessments.

    • Oversee maintenance of comprehensive project documentation, including contracts, reports, and records.

    • Ensure all project documentation is accurate, up-to-date, and accessible.

    • Utilize reporting tools and software to generate real-time data and insights for stakeholders.

QUALIFICATIONS:

  • Bachelor's degree in Engineering, Architecture, or a related field OR a combination of Post secondary education experience in the field, and relevant construction projects delivery experience (Essential)

  • CAPM (Certified Associate in Project Management) certification or equivalent (Preferred).

  • Minimum of 3 years of experience in project management, with a focus on construction project delivery. (Essential)

  • Ability to manage multiple projects simultaneously and work effectively under pressure. (Essential)

RESUME DES FONCTIONS

Le poste de responsable de la coordination de projet offre une occasion interessante de realiser des projets dimmobilisations, dans le respect des delais et du budget, ainsi que des exigences du CHEO et de la clientele. La personne titulaire du poste doit etre motivee, minutieuse et soucieuse des delais, et avoir la capacite detablir des relations efficaces avec les collegues et les parties prenantes. En participant a la realisation des projets, cette personne coordonnera la planification, lavant-projet, la realisation du budget du projet, la mise en uvre et levaluation des principaux projets et initiatives de linstallation. Elle sera chargee de collaborer avec les principales parties prenantes a la conception de plans de projet, au suivi des produits livrables et a la mise a jour des rapports detape sur les projets peu ou tres complexes, tout en contribuant a la definition de la portee, a letablissement du calendrier et a la realisation du budget. Capable de faire preuve de proactivite et dune grande minutie, la ou le titulaire du poste doit avoir une experience demontree de la coordination de la gestion de projets dans les domaines de larchitecture, de la conception, de la mecanique ou de lelectricite; et posseder dexcellentes aptitudes en communication (tant a loral qua lecrit) ainsi que des competences en presentation et en reseautage.

Relevant de la gestionnaire principale de projet ou du gestionnaire principal de projet, la personne titulaire du poste appuiera la planification et la realisation du projet du debut a la fin. Vous ferez partie dune equipe de gestion de projet qui assurera la liaison avec divers services de lhopital, le ministere de la Sante, le Service du batiment de la Ville, les fournisseuses et les fournisseurs, entre autres, pour veiller au respect des echeanciers, des produits livrables et des budgets du projet et, au bout du compte, a sa reussite.

Principales responsabilites :

  • Planification et lancement du projet :

    • Elaborer des plans de projet complets, notamment sur la portee, le budget, lecheancier et laffectation des ressources.

    • Aider la gestion de projet (GP) a effectuer les evaluations des risques, et rediger des registres des risques en consultation avec les principales parties prenantes du projet.

    • Aider la GP dans la coordination avec la direction de lhopital et les chefs de service afin daligner les objectifs du projet sur les objectifs de lorganisation.

  • Execution du projet :

    • Aider la GP durant toutes les etapes de la mise en uvre des projets, depuis letude de faisabilite, la conception et la construction jusquaux etapes de mise en service, de transfert, de letat de preparation operationnelle et de la gestion des demenagements.

    • Aider a gerer les equipes de projet, ce qui comprend les architectes, les ingenieures et ingenieurs, les entrepreneuses et entrepreneurs, ainsi que les sous-traitantes et sous-traitants.

    • Veiller au respect de lensemble des exigences reglementaires, des politiques de lhopital et des normes de securite.

  • Aspects techniques :

    • Utiliser des logiciels et des outils avances de gestion de projet pour suivre les progres et gerer les ressources.

    • Comprendre les elements mecaniques, electriques, medicaux et autres elements dinfrastructure de lhopital.

    • Aider la GP dans lintegration des principes de conception durable et des technologies ecoenergetiques dans lexecution du projet.

  • Aspects contractuels :

    • Assurer la coordination avec le service dapprovisionnement du CHEO pour lacquisition de services et dameublement, daccessoires et dequipement et participer aux activites daffichage, aux evaluations et a lattribution des marches.

    • Definir la portee des travaux et des criteres devaluation a lappui des activites dapprovisionnement.

    • Aider dans ladministration des contrats types comme les ententes de service du Comite canadien des documents de construction, de lOrdre des architectes de lOntario, du CHEO, etc.

    • Aider la GP a regler rapidement et efficacement tout differend ou probleme contractuel.

  • Budget et gestion du changement :

    • Surveiller les budgets des projets et controler les couts pour eviter les depassements.

    • Faire le suivi des depenses afin dassurer la responsabilite financiere.

    • Soccuper du suivi, de lexamen et de la mise en uvre en ce qui concerne la gestion du changement.

  • Communication avec les parties prenantes :

    • Servir de principal point de contact pour les parties prenantes du projet, notamment le personnel hospitalier et les parties prenantes externes.

    • Fournir des mises a jour regulieres sur letat davancement du projet en reglant les problemes et en repondant aux preoccupations rapidement.

    • Faciliter la communication et la collaboration efficaces entre les membres de lequipe du projet.

  • Surveillance de la qualite et du rendement :

    • Mettre en uvre des mesures de controle de la qualite pour sassurer que les produits livrables du projet respectent les normes etablies.

    • Effectuer regulierement des inspections et des verifications sur place pour surveiller les progres et la conformite.

    • Corriger tout ecart par rapport aux plans du projet et mettre en uvre des mesures correctives, au besoin.

  • Aspects lies aux rapports :

    • Preparer des rapports de projet detailles, comme des mises a jour sur letat davancement, des sommaires financiers et des evaluations des risques.

    • Superviser la tenue a jour de la documentation complete du projet, dont les contrats, les rapports et les dossiers.

    • Sassurer que toute la documentation du projet est exacte, a jour et accessible.

    • Utiliser des outils et des logiciels de production de rapports pour generer des donnees et des renseignements en temps reel a lintention des parties prenantes.

QUALIFICATIONS:

  • Baccalaureat en ingenierie, en architecture ou dans un domaine connexe OU combinaison detudes postsecondaires, dexperience dans le domaine et dexperience pertinente de la realisation de projets de construction (essentielle)

  • Certification CAPM (adjointe agreee ou adjoint agree du charge de projet) ou equivalente (souhaitable)
