This Department of Recreational Sports is seeking a Building Services Supervisor. This is a full-time (1.00 FTE), 12-month, professional faculty position.

The Building Services Supervisor provides leadership and oversight to ensure the successful delivery of building services which service 5 facilities which encompass over 25 acres and over 225,000 square feet. This position is to protect, clean and preserve the physical facilities and systems overseen by Recreational Sports. To provide safe, timely, cost effective and professional services that enhance and contribute to the mission of Recreational Sports, Student Affairs and University.

The Building Services Supervisor plans, organizes, coordinates, and evaluates activities associated with building services; plans and monitors performance against goals and objectives and ensure results; interacts with internal and external stakeholders and contractors to ensure quality and support.

The Building Services Supervisor reports to the Building Services Manager and provides leadership for the development, implementation, and assessment of building services short- and long-term objectives including strategic planning, budget development and management, policy and procedures, facility and equipment management and coordination, risk management and overall performance standards/evaluations. This position is also responsible for the supervision, development, and management of Classified and student staff.

Key Responsibilities

50% SUPERVISION:

Directly supervises 5 custodians, 1 custodial coordinator, and up to 25 student staff employees. Plans work; assigns work; approves work; disciplines/rewards; respond to grievances; hire/fire (or effectively recommends); prepares and signs performance evaluations/reviews. Works with Building Services Manager, Operations Coordinator, Special Events Coordinator, and Facilities Maintenance Coordinator to plan, assign and ensure completion of building services duties throughout DRS facilities. Meets regularly with the Building Services Manager to ensure tasks and labor are appropriately scheduled, personnel are adequately trained, and tools/materials are sufficient for assigned work tasks. Provides regular feedback to staff on quality assurance inspection performance and other expectations/BEST practices. In collaboration with the Building Services Manager, oversees staff development and training, ensuring building services staff are equipped with the skills and tools they need to effectively and efficiently complete their work. Regularly convenes staff meetings and trainings to increase/maintain morale and team cohesion. Researches new and improved cleaning and maintenance practices. Develops, measures and adjusts cleaning routes, scopes and methods to best serve DRS facilities and participants. Works with other DRS staff to ensure successful completion of all building service needs. Responds to email and use spreadsheets and work order systems to schedule projects and complete work order requests. Adapts Custodial schedules as needed to fill in for absences and to complete priority cleaning needs.

25% ACTIVITY SPACE CLEANING:

Cleans multiple spaces within Recreational Sports facilities (Dixon Recreation Center, McAlexander Field House, Student Legacy Park, SLP Tennis Center, SLP Pavilion) including but not limited to: cleaning and sanitizing toilets, sinks and showers, saunas and locker room spaces. Clean and sanitizes various recreation/athletic spaces that include gyms, courts, multipurpose rooms, fitness equipment rooms and weight rooms that consist of a variety of floor surfaces which include rubber, urethane, wood, and carpet. Cleans common spaces that include lounge space and associated furniture and amenities, entry areas, offices and work rooms, breakroom/kitchenette, all walls and other surfaces, windows, and mirrors. Cleans sports and activity equipment storage spaces in addition to maintenance work and storage spaces. Also responsible for cleaning recreation/athletic spaces with a variety of floor surfaces. Cleans specialized spaces which include two climbing walls and a natatorium, Dixon KITS Childcare, Our Little Village Childcare and Dixon Cafe. Refill dispensers, dust/sweep, mop, strip, wax and buff floors, vacuum, and extract carpets, pick up debris. Performs cleaning which may include emptying trash cans, recycling bins, compost containers and wastebaskets. Collects and sorts recyclable packaging materials and places in appropriate containers in disposal area.

10% EXTERIOR CLEANING:

Cleans outdoor spaces (Dixon Recreation Center, Sand Volleyball Courts, Student Legacy Park, Peavy Sports Fields, Challenge Course) that include trash and debris pick up and removal, empty and maintenance of trash and recyclables and containers. May use hand and power equipment to remove debris and leaves from exterior recreation/activity/park spaces (courts/fields). May utilize powered riding equipment to perform cleaning and maintenance of synthetic turf and cleaning of surrounding hard surfaces spaces. Power wash and/or water broom multiple types of surfaces with electric and gas-powered equipment. Utilize department utility cart or vehicle to assist in efficient performance of tasks. Wash outdoor windows and surfaces. May shovel snow and remove other types of debris. Moves and arranges furniture for meeting functions and supports large events with cleaning and setup support as requested; prepares applicable reports and keeps a variety of associated records.

5% Administrative:

Maintains an inventory of supplies and materials and coordinates distribution to support areas in multiple facilities. Supports the supply needs of daily custodial staff operation and other department areas cleaning supplies/material needs. Monitors equipment and stockroom inventory and requisitions new supplies and materials as needed. Monitor and reconcile budgets, prepare reports to advise leadership and inform decisions. Collect, analyze, and report data and other information for assessment, evaluation, budgeting, and forecasting. Ensure compliance with Rec Sports and OSU policies, federal, state, and local health regulations, and industry standards.

5% MINOR REPAIRS & FLOOR MAINTENANCE:

Changes incandescent, LED and fluorescent lighting and cleans fixtures and diffusers. Monitors and secures facility signage as appropriate and reports items in need of extensive repair or replacement. Clears clogged drains and toilets, replaces batteries in automatic air fresheners, faucet valves and in automatic paper towel dispensers. Performs minor maintenance of custodial equipment, changes hoses, belts or bags on vacuum cleaners, changes brushes, pads, squeegee blades on floor equipment, tightens fasteners, reports needed repairs for maintenance, and safety problems. Personally, performs work or schedules trained personnel to maintain hard surface floors. Extract carpet stains and provide periodic extraction as part of planned maintenance. Operates and oversees training of a variety of powered equipment, including but not limited to: low and high-speed buffers, carpet extraction machines, grout cleaners and powered floor scrubbers.

5% OTHER DUTIES:

Represent area/department at department, division, campus and community levels in areas such as committee work, community engagement, advisory/support groups and informal consulting and support. Pursing professional development opportunities. Attend department meetings and retreats as determined by department leadership and support department initiatives through active attendance and engagement. Other duties as required.

What You Will Need

  • Three years' experience in facilities maintenance, custodial services, relevant trades, or other relevant industry experience.
  • One year of experience providing supervision or lead work; including assigning work, providing support and training, evaluating the quality of work, and giving feedback.
  • Demonstrated ability to oversee a budget, including tracking expenses; ensuring that expenses are recorded accurately; providing input about resources needed; and working as needed with central units and business centers.
  • Demonstrated ability to create and organize documentation, policy and procedure materials.
  • Familiarity with professional standards regarding custodial, facility and ground maintenance operations.
  • Physical ability to perform work.
  • Ability to work inside and outside in varied weather conditions.
  • A demonstrable commitment to promoting and enhancing an inclusive work environment.
  • This position requires CPR and AED certification and additional training and will be provided by the department upon hire or within first 90 days.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver's license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030

What We Would Like You to Have

  • Demonstrated experience working in an educational setting to include colleges, universities, or K-12 campuses.
  • Familiarity with Association of Physical Plant Administrators cleaning standards.
  • Demonstrated experience with establishing cleaning standards in an educational facilities setting.
  • Demonstrated experience in cleaning and maintaining hard-surface floors including tile, wood, sports flooring, concrete and marmoleum.
  • Demonstrated experience maintaining carpeted floor surfaces.
  • Demonstrated experience with No-Touch Cleaning systems (KaiVac or similar.)
  • Demonstrated experience working with green-cleaning chemicals, auto-scrubbers, carpet extractors, microfiber towels, mops and tools.
  • Demonstrated ability to work collaboratively and independently, and to self-manage one's own work routine.

Working Conditions / Work Schedule

This position works in various environments including but not limited to: Recreation/sport/activity space, office/work environment, locker room/restrooms, exterior hardscape/grounds. This position may work outside during seasonally varying weather conditions. These positions interact with participants and the public daily. The typical work shift for this position is Mon-Fri, 6am-3pm. Has the potential of serving in an on-call rotation for after-hours clean-up needs throughout the year. May need to flex schedule to accommodate special events/needs/trainings. This employee will perform and coordinate daily cleaning duties in five different facilities across the campus.

This position is deemed essential, and the incumbent may be expected to report to work during inclement weather, emergency and other University work curtailments or closures.
