Job Summary

Support the Purchasing Director in supervising the department by maintaining close communication within and across departments. Ensure compliance with Kerzner's standards and processes while continuously seeking to improve efficiency and maintain healthy cost control. Additionally, assist in managing Capex purchasing to support the hotel's operational and capital investment needs.

Key Duties and Responsibilities

  • Assist the Purchasing Director in providing support to the various hotel departments, ensuring their operational needs are met
  • Ensure compliance with all procurement processes in alignment with Kerzner's corporate policies and standards
  • Maintain and expand a robust network of national and international suppliers to enhance the vendor portfolio
  • Develop and negotiate strategic contracts and pricing agreements to optimize cost-efficiency and quality
  • Implement and maintain effective procurement systems, reports, and tools to manage cost controls, identify variances, and resolve pricing issues proactively
  • Supervise the preparation of quotations and comparative analysis for requisitions processed through iScala, ensuring adherence to company standards
  • Oversee the requisition approval workflow in iScala and ensure timely issuance and communication of Purchase Orders to vendors
  • Manage the upload and maintenance of negotiated tender pricing in iScala
  • Lead credit line negotiations with key suppliers to improve payment terms and cash flow
  • Approve and monitor requests for freight payments and vendor prepayments
  • Ensure proper follow-up and reconciliation of all vendors advance payments
  • Monitor outstanding purchase orders to ensure timely fulfillment and resolve delivery issues
  • Establish, review, and update departmental SOPs to reflect best practices and process improvements
  • Foster strong relationships with suppliers, managing communication and negotiations in a professional manner
  • Represent the Purchasing Department in interdepartmental meetings as needed
  • Oversee Capex project procurement, from receiving requests and managing the tender process to equipment delivery and capitalization
  • Supervise payroll processes for the department, including changes and bi-weekly approval
  • Analyze procurement data and market trends to make informed purchasing recommendations aligned with the hotel's strategic goals
  • All other duties as assigned by the Director of Purchasing or another member of the leadership team

Skills, Experience & Educational Requirements

  • 5+ years' experience in the F&B, Hotel/ Hospitality sector in progressive purchasing roles required
  • Large operation experience, multi-unit purchasing a strong asset
  • Demonstrated budget and expense management skills with a proven track record of operating at or reducing targeted expenses
  • Strong relationship development skills
  • Exceptional negotiation skills
  • Excellent administration, interpersonal and communication skills
  • Must be self-motivated, results-oriented, flexible and able to work in a fast paced environment
  • Must possess a high standard of integrity and a strong team orientation
  • Flexible to meet demands of business volumes
  • Computer literate with proficiency in commonly used Microsoft Office Products (Excel, Word, Outlook)
  • Knowledge of purchasing, costing, inventory management software/tools a plus
  • Educational Requirements: College/ University preferred; possible industry certification and/or memberships and relevant professional training

  • Standing, walking, stooping, kneeling, and bending in an operational environmentfor extended periods
  • Frequent bending, twisting, stooping, reaching, and pulling
  • Lifting and carrying of loads weighing up to 30 pounds
  • Remaining in a stationary position for long periods
  • Constantly operating a computer and other office productivity machinery
  • Working in outdoor environments, including high altitudes, that may present extreme weather conditions such as snow, ice, rain, heat, wind, etc.
