Assistant Project Manager - FF&E and Move Management

Overview/Position Summary

Functions as the Owners Representative for FF&E and Move Management projects by assisting Project Managers with managing moderate to large-scale projects from beginning to completion, with an emphasis on schedule and cost effectiveness. Works to ensure smooth workflow and completion of projects, while interfacing with internal staff, clients, and other professionals and stakeholders.

  • Act as point of contact for project communications during the project process.

  • Develop work plan for FF&E and/or Move Management Coordination; organize project deliverables based on overall project parameters, project schedule and logistics, scope, and client goals.

  • Serve as a point of contact and coordinate with all third-party firms (architecture & design firms, contractors, vendors, IT department, building managers, electricians, other trades, clients facility managers, and movers, etc.) as related to FF&E and Move Management.

  • Work with client and all stakeholders to coordinate FF&E requirements; reuse existing product, new product or combination of both, coordinate all aspects of projects to final installation, coordinate with vendors, construction contractors, and others to identify critical path issues to complete projects on schedule.

  • Work with client and all stakeholders to coordinate Moves and address milestones; meetings, move procedures, manage IT equipment (computers, printers, etc.) relocation, coordinate with movers and client to identify critical path issues to complete projects on schedule.

  • Provide timely and formal written communication throughout projects and disseminate all critical information to stakeholders including the client and project team.

  • Maintain comprehensive project documentation, including records of key decisions, client requests, revisions, project schedules, budgets, meeting agendas and minutes, and ensure all materials are properly filed in designated repositories.

  • As needed, review plans and specifications for accuracy, completeness, and correctness; and administer corrective actions.

  • Conduct final walk through with required parties, develop and resolve open issues/punch list, and complete project close out documentation.

Knowledge/Skills/Abilities

  • Bachelors degree in Interior Design, Architecture, or a related field.

  • 15 years of relevant experience.

  • Knowledge of interior construction, interior design, moves and relocations, furniture manufacturing and shipping, building management and current workplace issues.

  • Proven ability to integrate frequent changes in scope into project planning.

  • Knowledge of all aspects of contract furniture management, project management, installation, relocations, and storage management.

  • General understanding of furniture product utilization, including architectural integration with the ability to manage small to medium projects.

  • Very good product and technical knowledge, including applicable building codes, correct product applications, custom applications.

  • Ability to read blueprints, conduct field verifications, site measurements and furniture/site surveys.

  • Very good project estimation and budget management skills.

  • Uses project management tools to control schedule, and budget; applies company policies and procedures to resolve a variety of issues.

  • Works with basic management tools applied to tasks of moderate scope. Exercises judgment within defined procedures and practices to determine appropriate action. Has internal and some external contacts.

  • Must be extremely organized, with good time management skills and the ability to work independently with minimal guidance.

  • Must be able to analyze and problem solve, even with significant ambiguity.

  • Excellent communication, time management, and organizational skills.

  • Experience using various industry software including Microsoft products, Adobe Photoshop, InDesign, AutoCad, Revit, SketchUp.

  • Willingness to travel locally or out of state to client sites as needed.

Compensation Range:

$71,981.92 - $95,975.90
