About the Project Coordinator position:

A Project Coordinator's role is to provide administrative and organizational support to project managers and teams,

ensuring projects are completed efficiently and effectively. The project coordinator is responsible for coordinating

projects from initiation through completion, ensuring deadlines, budgets, material acquisition, and quality standards are

met. This role requires excellent communication, planning, and multitasking skills. Essentially, they bridge the gap

between planning and execution, keeping everything running smoothly.

Responsibilities:

Scheduling

  • Schedule and track the progress of project inspections from pre-construction to final inspection.

Documentation

  • Produce and maintain project documentation, including plans, reports, foreman packets, submittals, receipts,

as-builts, and project folders.

Communication

  • Communicate effectively and in a timely manner with the internal project management team, vendors,

subcontractors, and clients to ensure project alignment and success.

Administrative Support

  • Support purchasing and procurement of project-related materials.
  • Ensure compliance with company policies, safety regulations, and industry standards.
  • Monitor budgets, timelines, and resources to support efficient project delivery

Problem-solving:

  • Able to navigate multiple jurisdictions' portals and submittal processes.
  • When faced with a new or challenging submittal or permitting process, able to identify the next steps that need

to be taken with minimal oversight.

Education/Qualification: (Customize based on position roles and responsibilities)

  • High school diploma and post-secondary education in a related field.
  • Excellent oral & written skills in English.
  • As a condition of employment, successful passing of a Criminal Background Check, Motor Vehicle report, and

Drug Screening are required.

  • Valid unrestricted driver's license.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to prioritize and manage time effectively; ability to work independently and hold themselves and their

teams accountable, with minimal supervision.

  • Problem-solving and judgment, technical know-how.
  • Excellent leadership, communication, and organizational skills are essential for this role
  • Ability to manage multiple tasks and priorities in a fast-paced environment

Physical Requirements:

Office Based:

  • Sitting for extended periods: Most of the work is done at a desk.
  • Frequent use of computers: Typing, using office software, email, project management tools.
  • Occasional walking and standing: Moving between meeting rooms, office areas.
  • Light lifting: Up to 10-20 pounds (e.g., binders, laptops, presentation materials).
  • Speaking and hearing: Communicating with team members, clients, and stakeholders.
  • Visual acuity: Reading documents, screens, and charts.

Field Based:

  • Ability to drive to and from job sites and perform light field duties as needed.
  • Occasionally lift or move materials up to 25 pounds.
  • Standing and walking on job sites: May involve walking long distances or on uneven ground.
  • Climbing stairs or ladders: Sometimes required to access parts of job sites.
  • Wearing personal protective equipment (PPE): Hard hats, safety vests, etc.
  • Exposure to outdoor elements: Weather, noise, and dust (on site).

Other Duties:

  • Adheres to the Code of Conduct, Confidentiality Agreement, and Company Safety Policy.
  • Performs other duties as assigned
