Job Description:
The Sr. Executive Assistant (EA) directly reports to the CFO and works closely with the broader Finance Leadership Team (FLT). This role goes beyond traditional administrative duties, offering the opportunity to help coordinate finance led and support strategic projects.
The ideal candidate has a pleasant demeanor, strong respect for confidentiality, a collaborative spirit, and a customer-service oriented attitude. Essential skills include excellent project management competencies, strong verbal communications and proofreading skills, database and technology savvy, a love of multitasking, and the ability to maintain calm under pressure.
Key Responsibilities
Administrative Management
- Provide high-level administrative support to the CFO, including calendar management, travel coordination, expense reporting, and secure e-filing
- Ensure the CFO is prepared for all appointments and deadlines with necessary materials and context
- Draft and distribute correspondence, reports, presentations, and other documents-often of a highly sensitive and confidential nature
- Maintain a conflict-free calendar and ensure adequate travel time between meetings
- Serve as a trusted liaison for internal and external stakeholders, including direct communication on behalf of the CFO with Board members and senior leaders
- Demonstrate initiative by identifying and resolving issues before they escalate to the CFO
- Support NYC office facilities need and maintain Finance org charts
- Provide travel & expense support to Finance leadership team (FLT).
- Collaborate with other C-suite executive assistants to coordinate materials for management and Board meetings
- Ensure executives meet commitments and deadlines by tracking deliverables and following up on action items
Board & Governance Support
- Coordinate and prepare materials for Board of Directors, Executive and Governance Committees, including agendas, minutes, resolutions, and follow-ups
- Maintain and organize board materials in secure shared datarooms, ensuring timely uploads, version control, and access permissions
- Track and archive board documents for audit and reference purposes
- Provide logistical support before, during, and after board and committee meetings
Finance Project Support
Support and coordinate Finance-led initiatives including:
Annual audit process (calendar management, status meetings, reporting)
Corporate tax planning and related projects
Financial reporting, operational metrics, dashboards, and ad hoc reporting
Post-merger integration efforts
Policy, process, and internal training documentation
Assist with global auditor and accounting service provider updates
Help plan team-building events and department culture activities
Support onboarding, mentorship, and employee development initiatives
Liaise with other departments and committees to accomplish special projects for the CFO
Compile financial data and prepare reports for internal and external stakeholders
Skills and Knowledge
- Outstanding administrative and project management skills with high attention to accuracy, detail, and organization
- Ability to develop timelines and execute on time
- Sound judgment and discretion in handling confidential matters
- Calm and effective under pressure, with strong problem-solving and analytical abilities
- Exceptional verbal and written communication skills
- Diplomatic and tactful in working with diverse constituencies
- Collaborative mindset with the ability to work independently and make decisions
- Adaptability in a fast-paced, evolving environment
- Proficiency in Microsoft Office 365 (Word, Excel, Teams, PowerPoint, Outlook); Experience in Tools like Workday, Concur, Board portals like Sherpany, Docusign, is a plus
Qualifications
- Minimum 5 years of executive assistant experience supporting a CFO or senior finance executive
- Experience managing activities on behalf of a Board of Directors preferred
- Bachelor's degree or equivalent education and professional experience
- Minimal travel required
- Hybrid role: Required to be in the Midtown NYC office 3-4 days per week
The base salary range represents the estimated low and high end for this position at the time of this posting. Consistent with applicable law, each candidate's compensation offer may vary and will be determined based on but not limited to, your geographic region, skills, qualifications, and experience along with the requirements of the position. Datasite reserves the right to modify this pay range at any time.
$82,900.00 - $142,000.00
