PRINCIPAL DUTIES

  • Works with the Manager & Project Engineers to create and manage a rolling daily, weekly and one-month scheduleforworkcrewstoensureappropriatestaffingandtimelycompletionof projects.
  • Collectstimecards/timesheets,verifyallentries,approvesandsubmitsfortimelypayroll
  • WorkswiththeManager,Superintendent, Project Engineers, Purchasing, and Accounting Department on construction/office supplies, PPE orders from the initial request through tracking and inventory to ensure all materials are ordered accurately and timely.
  • Processestravelrequestsforthedepartment,andprovidesinformationtoproject staff, accounting and travel group.
  • Providesgeneraladministrativesupport,summarizescreditcardcharges; gas cardsand maintains the office filing system; maintains office supplies/inventory.
  • Gather, Submit and Coordinate Traffic Control information for the upcoming week. Update as needed during the week.
  • Processmaterialsubmittalsforassignedprojectsandsubmitstoappropriategeneral contractors and agencies.
  • Gathersmiscellaneouspaperworksuchasinvoices,deliveryreceipts,fuelreceipts, purchase order logs, packing slips, etc. and codes charges appropriately to submit information for payment in a timely manner.
  • Assists in creating bid folders, downloading applicable bid documents and other various estimating tasks.
  • Reviews aged invoice report in order to monitor collections to control accounts receivable; follow up with customers on AR invoices.
  • Performs administrative functions: Type various documents as required. Prepares and submits various reports.
  • Performs other duties as assigned.
  • Promotes awareness of and follows Company and general safety policies.
  • Exhibits a core understanding of mutual respect and good customer service orientation in interactions with all people in the workplace.

PRINCIPAL REQUIREMENTS

Working Conditions:

  • Work hours vary typically Monday through Friday, with weekend work dependent on operational needs.

Equipment Use:

  • Company vehicle provided for company requirements on an as needed basis.
  • Vehicle usage for travel to various company projects and locations

Mental and Physical Demands:

  • Needs to adapt well in face of workplace stressors such as competing priorities of reasonable or high significance.
  • Needs to be able to reason logically and make sound decisions, to consider alternative and diverse perspectives, to communicate effectively both orally and in writing, and to interact effectively with people in a positive manner that engenders confidence and trust.

Communication Demands :

  • Excellentverbal and written communications skills.
  • Excellent organizational, time management and documentation skills.

Minimum Qualification Requirements:

Skills/Knowledge:

Reading: Must be able to read and understand contract documents

Computer: Strong background in computer applications. Word, Excel, and Outlook. Keyboarding skills sufficient to complete daily tasks in a timely manner and working proficiency with 10-key.

Licenses: Valid Hawaii driver's license and favorable traffic abstract.

Education: College Degree preferred; high school degree required.

Experience : 2 year's experience in the construction industry preferred.

Other : Must be at least 21 years of age.
