Project Manager

The Project Manager will oversee and coordinate various projects related to school operations, infrastructure, and compliance. This role requires strong organizational skills, the ability to manage multiple stakeholders, and a passion for education and student success. The Project Manager will ensure that projects are completed on time, within scope, and within budget, supporting the school's mission and strategic objectives.

Essential Functions and Skills:

  • Knowledge of school district organization, operations, and administrative policies
  • Communicate effectively with staff across the district.
  • Ability to read and comprehend instructions, short correspondence, and memos.
  • Ability to make independent decisions regarding planning, organizing, and scheduling.
  • Excellence in public relations, organization, communication, and interpersonal skills
  • Ability to use software to develop spreadsheets, perform data analysis and do word processing.
  • Ability to multi-task numerous complex administrative tasks.
  • Maintain strict confidentiality.
  • Comply with policies established by federal and state laws and regulations and local policy.
  • Experience using project management tools such as Click Up, Trello, Smartsheet, Asana, MS Project

Responsibilities and Duties:

  1. Project Planning & Coordination
  • Lead and manage key projects (e.g., facility renovations, technology rollouts, new campus launches)
  • Develop timelines, assign responsibilities, and monitor progress
  • Manage procurement processes, vendor/contractor registration, and contract payment oversight
  • Serve as the point of contact for internal teams and external vendors
  1. Cross-Functional Collaboration
  • Coordinate efforts between departments such as academics, operations, HR, IT, and finance
  • Ensure all stakeholders are aligned and informed throughout the project lifecycle
  • Coordinate with partner organizations and residential treatment center leadership to align on project impact, site access, and shared resource planning
  1. Compliance & Documentation
  • Track and report on deadlines, milestones, and compliance requirements
  • Maintain documentation and ensure that deliverables meet regulatory or internal standards (especially for grants, special programs, or state reporting)
  • Ensure alignment with Texas Education Agency (TEA) standards, including Charter FIRST, safety audits, and amendment requirements related to expansion or relocation
  1. Facilities & Construction Oversight
  • Manage facility projects, such as modular building setups, classroom upgrades, or new campus development
  • Work with general contractors, architects, and inspectors to ensure timely, safe, and compliant construction
  • Coordinate facilities maintenance.
  1. Technology Infrastructure
  • Oversee implementation of new software or systems (e.g., SIS, HRIS, LMS), new and/or upgrades to equipment.
  • Coordinate training and support for staff during transitions
  • Coordinate with IT weekly meeting about technology infrastructure.
  • Manage ERATE program.
  1. Budget Monitoring
  • Track project expenses and ensure alignment with approved budgets
  • Provide regular updates to school leaders and finance teams
  • Collaborate with finance to interpret variances in project financial performance
  • Work with accounting to document the causes of cash flow deviations
  1. Problem Solving & Risk Management
  • Identify and resolve issues that could delay or derail a project
  • Proactively communicate risks and adjust plans as needed
  1. Manage receivables
  • Ensure timely generation and submission of invoices to clients, funders, or agencies.
  • Coordinate with accounting to verify billable amounts, based on project milestones or contract terms.
  • Review A/R aging reports to identify payment delays and escalate issues as needed.
  • Ensure receivables align with project timelines and cash flow forecasts.
  1. Board Meeting
  • Prepare and maintain the Board Meeting agenda, minutes, and documents
  • Communicate with board members and staff of board meetings.

Additional Functions:

  • Participate in professional development activities to maintain and facilitate knowledge in areas of responsibility.
  • Promote a positive work environment that fosters high staff morale and excellence in the district.
  • Assist with event planning and social media events as assigned.
  • Provide additional support to the District Office and Superintendent as needed.
  • Assist in financial audits or reporting by supplying documentation.
  • Other duties as assigned.

Physical Requirement:

  • Maintain emotional control under stress.
  • Work with frequent interruptions
  • Occasional district-wide travel
  • Frequent prolonged and irregular hours
  • Sitting, standing, lifting, and carrying (up to 25 pounds with assistance), reaching, squatting, climbing stairs, and kneeling may be required.

Qualifications:

  • High School Diploma or Equivalent (Required)
  • Bachelor's degree in business or related field (Required)
  • PMP (Project Management Professional) (Preferred)
  • Five years of experience in a school district setting (Preferred)
