- Associate's degree or equivalent experience
- 5+ years experience in architecture, engineering, or construction project coordination
- Intermediate knowledge of project management software, AIA contracts, Deltek Vision, Procore, Adobe Suite, Microsoft Office Suite, Bluebeam, Outlook
- Budgetary management skills
- Ability to forecast the workforce size needed for projects
- Solid understanding of scheduling, basic budgeting, accounting skills, and a working knowledge of architecture, engineering and/or construction administration
- Ability to collaborate and communicate with other team members
- Assist in the development of the project budget and project plan, alongside the Project Managers
- Participate in project coordination, contract, and agreement proceedings
- Create, assemble, and distribute contract documents in AIA software
- Facilitate client, contractor, and project correspondence
- Create project team directories, lists, schedules, and related project documentation
- Manage File Archive (contracts, invoicing, NBD/Fees, other)
- Setup meetings, invite participants, and attend virtual meetings for conferences
- Enter new job starts, phases, budgets, and project data into Vision and update project progress and the closing out date as project concludes
- Coordinate requests for W-9s as requested by clients/consultants with accounting
- Order and maintain insurance certificates for new project/contracts
- Coordinate, organize and manage QC document management process
- Produce/edit job specifications for distribution
- Deliverable document distribution (Contracts, reports, permit & bid docs, other)
- Assist in bidding process (maintain logs, send out addendums, other)
- Produce various job specific reports, spreadsheets and documents as requested by PM (CO, COR, RVI, RFP, change directives, field reports, meeting minutes, punch lists, other)
- Coordinate, distribute and return project submittals and RFIs
- Review, organization, scan or electronically save as-build and O & M
- Manage project close-out information and documents, sometimes using electronic systems
- Coordinate with Project Managers on Cushing Terrells project billing with clients accounting procedures as well as aligning with clients needs in timing and format
- Assist with accounts receivable and collections to comply with Cushing Terrells goal of being paid within 30 days of deadlines
- Review and reassess projects weekly to maintain earned value and ensure resources are properly utilized
- Expected Range*: $65,000 to $76,000
- The position is also eligible for an annual performance bonus
