Job Title: Project Coordinator – HVAC & Building Automation Services

Location: West Chester, OH
Department: Service Operations – HVAC Mechanical & Building Automation Systems
Reports To: Service Operations Manager

Schneider Electric is seeking a detail-oriented and proactive Project Coordinator to support our HVAC Mechanical and Building Automation Systems Service Department .

This role is critical in ensuring the successful planning, execution, and completion of service projects by coordinating resources, tracking progress, and maintaining clear communication across teams and stakeholders.

This position reports full-time to our West Chester, OH office. This is not a remote position or work-from-home.

Core Responsibilities:

Project Planning and Development

  • Assist in defining project scope, objectives, and deliverables.
  • Develop and maintain project schedules, timelines, and milestones.
  • Track progress against key milestones and adjust plans as needed.

Material Purchasing and Procurement

  • Manage procurement of materials and equipment through internal systems and approved external vendors.
  • Ensure purchase orders are accurately created, tracked, and fulfilled in alignment with project timelines.
  • Collaborate with supply chain and vendor management teams to resolve delivery issues and optimize procurement processes.
  • Monitor inventory levels and coordinate replenishment to avoid project delays.

Resource Management

  • Coordinate and allocate resources (personnel, materials, equipment) to meet project goals.
  • Support budget tracking and ensure alignment with financial plans.
  • Liaise with vendors and suppliers to ensure timely delivery of materials and services.

Team Coordination and Leadership

  • Facilitate effective communication within project teams and with external stakeholders.
  • Organize and lead project meetings, document discussions, and follow up on action items.
  • Foster a collaborative and supportive team environment.

Monitoring, Reporting & Documentation

  • Monitor project progress and identify potential delays or issues.
  • Prepare regular status reports highlighting achievements, challenges, and deviations.
  • Maintain comprehensive project documentation including plans, reports, invoices, and records.

Risk and Issue Management

  • Identify and escalate risks that may impact project success.
  • Assist in developing and implementing mitigation strategies for identified risks and issues.

Qualifications:

Education: Associate’s degree in Business Administration, Project Management, or a related field; equivalent experience will be considered.

Experience: Prior experience in a support or administrative role, junior project coordinator or project management with a Service based organization, is preferred.

Skills:

  • Strong organizational and time management abilities.
  • Excellent verbal and written communication skills.
  • Problem-solving mindset with attention to detail.
  • Proficiency in with Microsoft Office Suite, Smartsheet, SAP, Dynamics, Tableau and Salesforce.
