Job Title: Site Coordinator Position Profile

Accountable for the daily operations of a solo-person site. Responsible for delivering contracted office services, including but not limited to: copy services, courier services, managed print services, hospitality, imaging, and mail services.

Job Duties and Responsibilities

  • Responsible for daily operations of a mail room, copy center, or scanning facility.
  • Operate office equipment such as PCs, copiers, multifunction devices, imaging, and mail equipment.
  • May handle:
  • Courier services
  • Reception services
  • Switchboard operations
  • Shipping & receiving
  • Mail delivery and processing
  • Maintain formal, daily communication with the customer.
  • Implement and manage RICOH Service Excellence programs.
  • Operate required equipment/software efficiently to meet service level agreements.
  • Optimize cost-effectiveness by managing materials and supplies efficiently.
  • Maintain daily routine functions, including:
  • Creating/completing work orders
  • Contractor monitoring
  • Inspections and reporting of facility-related issues
  • Supporting general office functions
  • May interact with contracted vendors, facility management, and building occupants.
  • Responsible for office supply inventory and reordering.
  • Coordinate conference room bookings and manage A/V equipment resources.
  • Maintain positive working relationships with internal teams through professional communication.
  • Collect and provide data to leadership and customers; may include completing monthly reports.
  • Ensure financial responsibilities are met.
  • Perform other duties as assigned.

Qualifications (Education, Experience, Certifications)

  • High school diploma or GED required
  • 1+ years of related experience in a B2B or technical environment
  • At least 1 year of customer-facing experience
  • Demonstrated knowledge and understanding of basic office technology

  • Basic presentation skills (small groups)
  • Moderate problem-solving abilities
  • Basic customer service skills
  • Basic technical aptitude
  • Strong written and verbal communication skills

Working Conditions, Mental & Physical Demands

  • Office environment with standard lighting, ventilation, temperature, and noise levels
  • Work assignments are varied; requires interpretation and application of complex information
  • Some physical effort required:
  • May involve walking, standing, bending, reaching, lifting/carrying items up to 50 lbs
  • Moderate dexterity required (use of calculator, keyboard, tools, etc.)
