Job Summary: MSI seeks an Entry Level Assistant to work with Project Coordinate and Manager of our Projects Department. This role involves managing the permit application process for construction, processing construction documents, and organizing various processes.

Essential Functions:

  • Provide administrative support including typing, filing, emailing, and correspondence routing.
  • Provide project administrative support as requested by Sr. Project Coordinator, Project Managers and Executive Leadership.
  • Ensure all necessary permits are requested and obtained, and call inspections as requested by Project Managers or Field Employees.
  • File and track Notice To Owners, ensuring they are issued on time.
  • Issue Certificates of Insurance when opening a job or when requested.
  • Assist with invoicing and AR as required.
  • Initiate Warranty Letters when required and distribute them in the Warranty book and copy to the Service Group.
  • Communicate with Project Managers and Project Coordinators about any changes or updates concerning projects.
  • Review and assess all permit applications to ensure completeness, accuracy, and compliance with local, state, and federal regulations.
  • Coordinate the submission of permit applications to appropriate governmental agencies and follow up to expedite the review and approval process.
  • Act as a liaison between project managers, contractors, and regulatory agencies to communicate permit requirements and resolve any issues.
  • Maintain a detailed database of all permit applications, including their status, deadlines, and associated fees.
  • Develop and implement strategies for streamlining the permit process for future projects.

Qualifications

Education and Experience:

  • High School graduate.
  • A minimum of one (1) year of experience as an Administrative Assistant or Project Coordinator in the construction field preferred.

Knowledge, Skills, and Abilities:

  • Knowledge of construction forms and permits.
  • Strong administrative skills.
  • Proficiency in Microsoft Products and permit application software.
  • Excellent communication and interpersonal skills.
  • Ability to coordinate and work well with others.
  • Ability to work well under stress and multitask.
  • Strong organizational skills.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and collaboratively.
