Job Summary:

The Template Builder Analyst is responsible for building the master scheduling template, including the design, monitoring, and maintenance of provider scheduling functions across the ambulatory enterprise. The analyst receives, interprets, and executes provider template change requests, making changes in accordance with approved template standards.

Responsibilities

Job Functions:

• Carries out daily and template scheduling requests/edits across OHMG ambulatory practices.
• Builds and manages providers scheduling templates in collaboration with department leadership for the assigned department/specialty group. Works with the Capacity Management team, which collaborates with patient access leadership, clinical and operational ambulatory leadership, and providers to identify and proactively mitigate issues that create barriers to ambulatory access and patient
flow. Thinks critically about improving performance on Provider Schedule Utilization while completing schedule build, as part of the Capacity Management team.
• Reviews and prioritizes requests based on priority; coordinates work assignments with team members. Fulfills template change requests quickly and accurately; consistently seeks opportunities to utilize best practice strategies and techniques to all schedules.
• Completes special projects assigned by department leadership.
• Understands and follows template design principles and provider template-related policies and procedures, as well as appointment slot designations and visit types, to meet business/clinical needs.
• Proactively reviews provider schedules and recommends strategies to improve access based on approved guidelines
• Processes and validates template change submission form(s) and e-mail request(s) in a timely manner to ensure minimal disruption to operational workflow (i.e., rescheduling/scheduling patients).
• Notifies the Director of Capacity Management when department negotiations fail and escalation to leadership is required to reach resolution.
• Regularly updates and validates team tools (i.e., SharePoint Dashboard, Template Library) to accurately reflect current data from Epic and changes in department leadership.
• Assists the Capacity team with onboarding new providers and subsequent templates.
• Manages scheduling application removals/blocks in Epic—deletes future templates, resets release dates, updates subgroups, complies patient bump lists, and confirms advisory and scheduling instructions for the access center (or schedulers).
• Works cross-functionally with the access center operations team to coordinate, confirm, and troubleshoot scheduling access.
• Performs and provides initial investigation findings/discovery to the Capacity Management Team using Epic reporting features and/or established reporting tools.
• Understands and communicates enterprise and department/division policies related to scheduling, rescheduling, and template building.
• Ensures that templates and scheduling configurations are accurate and entered in a timely manner according to system template standards. Confirms validity prior to releasing templates.
• Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA and other federal, state and local standards.
• Maintains compliance with all Orlando Health policies and procedures.

• Participates in meetings, teleconferences, or site visits with assigned departments/divisions in a collaborative manner to resolve roadblocks and create opportunities to increase patient access.
• Participates in projects that affect patient access, scheduling templates, and/or clinical capacity planning for departments/divisions by completing project deliverables on time.

Qualifications

Education/Training

• A bachelor’s degree is required. An associates degree and two (2) years of directly related work experience (in addition to the requirements listed in the Experience section) may substitute for the bachelor’s degree. A high school diploma or equivalent and four (4) years of directly related work experience (in addition to the requirements listed in the Experience section) may substitute for the bachelor’s degree.

Licensure/Certification

Epic Cadence or Prelude Certification is required. Candidates who are not certified at the time of hire must obtain certification within three (3) months of their start date in this role.

Experience

• Two (2) years of experience in hospital/medical operations related to patient access and clinicalsystems required.
• Basic knowledge of medical/clinical terminology.
• Knowledge of Ambulatory scheduling, registration, and back-office (medical assistant) workflows.
• Holds strong analytical and problem-solving skills.
• Strong understanding of EMR (EPIC) information systems, business processes, the key drivers, and measures of success for the relevant business.
