Project Coordinator
Job Description

We are seeking a dedicated and detail-oriented Project Coordinator to assist in the preparation and submission of competitive bids for excavation projects. This role involves coordinating with estimators, subcontractors, and suppliers, managing change orders, maintaining project records, and supporting project managers in scheduling, budgeting, and tracking progress.

Responsibilities

  • Assist in preparing and submitting competitive bids for excavation projects.
  • Gather and organize bid documents, specifications, and drawings.
  • Coordinate with estimators, subcontractors, and suppliers to obtain pricing and scope details.
  • Track bid deadlines and ensure timely submission of proposals.
  • Draft, submit, and track change orders throughout the project lifecycle.
  • Communicate scope changes with clients and internal teams.
  • Ensure proper documentation and approval of all changes before implementation.
  • Maintain accurate project records including contracts, RFIs, submittals, and permits.
  • Support project managers with scheduling, budgeting, and progress tracking.
  • Prepare and distribute project reports, meeting notes, and updates.
  • Assist with procurement and coordination of materials and equipment.
  • Serve as a liaison between field crews, office staff, clients, and vendors.
  • Facilitate smooth project execution by ensuring all stakeholders are informed and aligned.
  • Monitor project timelines and alert teams to potential delays or issues.
Essential Skills
  • Project coordination experience in construction or excavation.
  • Change order management and submission expertise.
  • Bidding and permitting experience with a solid understanding of the processes.
  • Document control proficiency.
  • Strong communication and coordination skills.
Additional Skills & Qualifications
  • Associates or Bachelors degree in Construction Management, Business Administration, or related field preferred.
  • 3+ years of experience in construction or excavation project coordination, estimating, or project administration.
  • Proficiency in project management and estimating software (e.g., Procore, Bluebeam, HeavyBid, or similar).

Job Type & Location

This is a Permanent position based out of Carlisle, Pennsylvania.

Pay and Benefits

The pay range for this position is $60000.00 - $70000.00/yr.
