HDR is looking for a Federal Project Administrator to join our Charlotte, NC office. The Federal Project Administrator provides high level administrative and Federal compliance focused project support, ensuring projects are well organized, accessible, and aligned with Federal requirements. The role supports multiple Project Managers and project teams and serves as a trusted resource for Federal processes, controlled information, and documentation coordination. This is a hands on, fast paced role best suited for someone who is proactive, resourceful, and comfortable finding answers independently while working collaboratively across teams. Day-to-day duties will include the following\:
Federal Project & Compliance Support
Provide administrative support for Federal projects across planning, design, and construction phases
Support adherence to Federal requirements related to documentation, security, and information handling
Maintain awareness of Federal compliance requirements impacting project administration
Serve as a knowledgeable resource for Controlled Unclassified Information (CUI), including\:
o Supporting proper handling, storage, and transmission
o Tracking required training and access documentation
o Assisting teams with compliance readiness
Project Information & Document Management
Establish and maintain project records in Newforma to ensure accurate document control and tracking
Track and organize RFIs, submittals, change orders, applications for payment, field reports, schedules, and closeout documentation
Prepare project file structures and support transitions from pursuit to active delivery
Maintain secure, organized electronic and paper project files and archive closed projects in accordance with Federal and HDR requirements
Project Management Support
Assist Project Managers with project setup, coordination, and ongoing administrative needs
Support development and maintenance of project work plans, staffing metrics, and status tracking
Generate and maintain project tracking tools, logs, and reports
Assist with basic budgeting support, including tracking, data entry, and reporting
Meetings, Coordination & Communication
Coordinate internal and external project meetings, including scheduling, agendas, and meeting minutes
Track action items and follow up to support timely completion
Process base, site, and camera access requests and maintain related documentation
Support site visits by coordinating logistics and distributing reports
Writing, Editing & Presentation Support
Prepare, edit, and format professional correspondence, reports, presentations, and project documentation
Proofread materials for clarity, accuracy, grammar, and formatting
Assist with resumes, project descriptions, and other standard Federal project materials
Ensure documents align with HDR and client formatting standards
U.S. citizenship required due to Federal client contract requirements
Preferred Qualifications
5 years of experience supporting Federal projects in an administrative or project support capacity
Working knowledge of Federal project environments and administrative requirements
Strong understanding of Federal compliance expectations, including CUI fundamentals
Proven ability to manage multiple projects with minimal direction
Strong organizational, follow through, and communication skills
Prior experience in a Federal Project Administrator or Project Coordinator role
Experience with tools such as Newforma, Bluebeam Revu, SpecsIntact, SharePoint, and Microsoft Project and/or Primavera P6
Familiarity with base access processes, site coordination, and Federal documentation standards
Comfort working in a highly collaborative, multi-project management environment and with teams in other locations, local candidates are preferred

Required Qualifications- Bachelor's degree
- A minimum of 5 years related experience
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
