About the role:

As the Operations Manager of Facilities Services, you will play a key role in overseeing the daily administrative and financial operations of the Facilities Services department. Reporting to the AVP for Facilities Services, youll manage internal processes, support strategic initiatives, and help foster an inclusive and equitable work environment. In this highly visible position, youll also serve as the primary point of contact for internal departments, external vendors, and the communitywhile supervising administrative staff, technical support teams, and student assistants.

The anticipated yearly salary range for this position is $55,000- $57,000 based on experience. Relocation assistance available.

What Youll Be Doing:

Executive and Administrative Support

Manage the AVPs calendar, schedule internal and external meetings, and coordinate events.
Prepare and distribute agendas, manage communications, and handle travel and expense reporting.
Maintain strict confidentiality while supporting the AVPs day-to-day operations.

Financial and Strategic Management

Administer the departments budget, monitor financial operations, and manage resource allocation.
Analyze financial data, prepare detailed reports, and forecast expenditures.
Contribute to capital budget development and long-range strategic planning.

Technology and Operations Oversight

Coordinate with IT to implement and maintain Facilities Services CMMS and technology systems.
Ensure the upkeep and compliance of communication devices and operational technologies.
Support preventive maintenance and systems troubleshooting as needed.

Process Improvement and Stakeholder Engagement

Evaluate and improve operational workflows, procedures, and policies.
Ensure all practices align with College goals, values, and regulatory standards.
Lead benchmarking initiatives and use survey data to inform enhancements.
Serve as a liaison with internal departments, the public, and external vendors or agencies.

Fleet and Logistics Management

Oversee the Colleges Rental Fleet Program, including scheduling, billing, and driver compliance.
Collaborate with Grounds-Automotive and EHS teams to maintain vehicle safety and training records.
Maintain software systems related to fleet logistics and driver documentation.

General Oversight

Manage logistics, warehousing, distribution, and property administration across departments.
Represent Facilities Services in campus meetings, committees, and strategic initiatives.
Respond to after-hours needs and take on additional responsibilities as assigned.

Minimum Qualifications:

Bachelors degree and at least five years of related administrative experience.
Proficiency in Microsoft Office Suite and familiarity with Google Workspace tools.
Strong organizational and multitasking skills, with keen attention to detail.
Demonstrated ability to support a diverse team.
Excellent communication skills and ability to manage a fast-paced, high-interruption office environment.
Understanding of budgeting, accounting practices, and internal controls.
