Job Description:

Overview:

The Project Coordinator will provide comprehensive project support to multiple project teams and senior leaders, ensuring smooth and efficient delivery of projects through coordination, documentation, and process management.

Responsibilities:

  • Supports multiple Project Managers (PMs) in the timely delivery of projects by preparing and tracking documentation related to the construction phase, including pay estimates, change orders, contract documents, and bid tabulations.
  • Receives and logs contractor submittals such as pay estimates and change orders; reviews submissions for completeness and accuracy before preparing associated documentation and routing for PM approval.
  • Communicates directly with contractors to obtain missing documentation, clarify submittal discrepancies, or resolve minor issues.
  • Proactively anticipates next steps in the project lifecycle and takes initiative to keep construction phase administration moving efficiently.
  • Tracks project timelines, deliverables, and submittal due dates to ensure timely responses and avoid schedule delays.
  • Maintains organized digital records of construction phase correspondence and documentation in accordance with company standards.
  • Coordinates with administrative, engineering, and field personnel to facilitate smooth execution of project tasks.
  • Assists with contract execution and project closeout documentation.

Qualifications:

  • Bachelors degree in business or a related field of study preferred.

  • A minimum of 5 years experience in a similar support role, preferably in the AEC industry.

  • Previous experience handling highly sensitive and confidential information in an administrative capacity.

  • Exceptional communication skills, both oral and written.

  • Strong interpersonal skills with the ability to collaborate effectively with employees at all levels within an organization.

  • Advanced proficiency in MS Office Suite, particularly MS Excel and MS Teams.

  • Ability to meet deadlines and adapt to changing work assignments and priorities with professionalism.

  • Strong organizational and time management skills with a customer-service orientation.

  • High level of accuracy and attention to detail in work products.

  • Ability to work independently with a high level of initiative.

  • Ability to work Monday - Friday, 8am - 5pm with overtime as needed.
