Primary Purpose of Position:
To coordinate and manage the lifecycle of vendor contracts. This includes, but is not limited to, the end-to-end vendor identification and selection process through contract renewal and/or termination. This position supports the organization’s compliance with company policies, state and federal regulations, and contractual requirements related to vendor contracts while assuring alignment with business needs.
Role and Responsibilities:
Planning and Requirements:
- Works with departments to identify business needs, define objectives, vendor criteria and scope of work
Vendor Research and Selection:
- Conducts market research and presents multiple vendor options to internal stakeholders
- Manages bids, quotes, and awards (RFP/RFI), as needed
- Analyzes market trends for cost saving opportunities
- Ensures compliance with procurement policies and regulations
- Partners with a multidisciplinary team of internal stakeholders to negotiate vendor selection, contract terms, including pricing, deliverables, performance metrics, reporting, and timeliness
- Coordinates with Finance for budget approval
- Collaborates with Vendor Management through the contract initiation process of reviewing and approving the vendor prior to contract execution
Vendor Contract Lifecycle Management/Coordination:
- Serves as the primary point of contact and subject matter expert for operational policies, processes and requirements related to vendor contracts management
- Coordinates compliance with vendor contract lifecycle management (referenced below) and related timeframes in collaboration with others across the organization (i.e.: Business Owners, Finance, Legal, IT, HR, Compliance)

- Maintains a centralized vendor contract database/technology platform(s) and ensure all documentation is up to date
- Assists and/or prepares reports and summaries of contract status and performance metrics
- Provides support and assistance with audits and internal reviews related to contracts management
- Trains and/or assists in training internal staff related to contract lifecycle management

- Stay updated on industry trends and changes in regulations that may impact contracting or procurement practices
- Knowledge and understanding of vendor procurement, compliance oversight and risk management
- Proficient with Microsoft Office Suite (Access, Excel, PowerPoint, and Word)
- Excellent interpersonal, oral, and written communication skills necessary to communicate with all levels of staff and stakeholders
- Excellent phone and email etiquette skills with strong response times
- Proficient analytical and organizational, problem-solving, critical thinking and conflict management/resolution/negotiation skills
- Effective attention to detail, accuracy, and precision to support research and presentation skills
- Ability to prioritize, plan and organize projects and tasks

Education/Experience Required: Bachelor’s degree in Business Administration, Project Management, Health Care Administration, or related field and 3 years of commensurate experience in vendor management, vendor procurement, or contract administration.
