About the Role Are you someone who enjoys connecting the dots between customer needs and internal execution? Watlow is seeking a Project Coordinator who will serve as the crucial link between our customers and internal teams to ensure seamless execution of customer orders and projects. In this role, you will drive the transactional flow of customer opportunities, manage documentation, and help ensure compliance with both internal and external project requirements.
You will act as a liaison across multiple departments, helping drive success from customer inquiry through production, while also improving documentation practices, supporting third-party inspections, and collaborating on project timelines. Key Responsibilities
Customer & Project Coordination
Drive the end-to-end flow of customer opportunities from inquiry to production release.
Serve as the liaison for customers throughout contract and production milestone reviews.
Coordinate and host third-party inspections.
Facilitate customer documentation and change control processes.
Documentation & Data Management
Assemble and ensure completeness of documentation, including specifications, standards, and historical data.
Create and modify test plans, shop packets, and engineering folders in line with customer expectations.
Maintain consistency between customer and internal systems (including pricing, part numbers, and portals).
Store, archive, and manage critical documentation in the company’s systems.
Technical Support
Ensure accurate documentation and pricing within the business system.
Participate in contract and PO reviews, kick-off meetings, and milestone meetings.
Evaluate customer requirements and determine the level of documentation and inspection effort required.
Team Support & Administration
Mentor less experienced team members and guide their daily activities.
Participate in team improvement initiatives and retrospectives.
Support internal communication efforts across departments including design, planning, production, quality, and engineering.
What You Bring
Strong organizational and problem-solving skills with a sharp eye for detail.
Ability to follow procedures with the flexibility to adapt when appropriate.
Familiarity with documentation control, order management, and change control systems.
Excellent communication skills — both written and verbal.
A basic understanding of engineering or manufacturing environments is a plus.
Proficiency in navigating and maintaining records in business systems.
Comfort hosting inspections and collaborating cross-functionally.
Preferred Qualifications
Associate or Bachelor’s degree in Business, Engineering, or related field preferred.
1–3 years of experience in customer service, project coordination, or manufacturing support roles.
Experience with ERP systems and customer portals is a strong advantage.
