Precision Office Furniture Installation, established 35 years ago, specializes in warehousing and installing office furniture across the country. At Precision, we take pride in delivering exceptional service on every project, and we’re looking for a Project Coordinator/Data Entry Specialist who shares that commitment. We are currently looking for someone to handle and coordinate paperwork and communications for multiple projects simultaneously.
The ideal candidate will be tech-savvy and a quick typer with a sharp eye for detail. You’ll work closely with Project Managers and Coordinators to input and review project documents, while maintaining clear, professional communication with clients throughout the project. If you’re proactive, organized, and excel at keeping tasks moving efficiently, this may be the right fit for you.
Responsibilities and Expectations (including but not limited to):
Collects information for new customer setup, including New Client Forms, Sales Tax Exemption Certificates, Signed Customer Agreements, Terms and Conditions, I-9, and any other information necessary for customer setup
Input customer information into Project Management software (Microsoft Dynamics)
Sets up projects - requesting project information needed from customers, inputting details into Dynamics software, and placing/organizing documents into job folders
Directs project and customer correspondence through monitoring of customer emails
Type quote information into the company CRM software and distributes quotes to customers
Communicates with customers regarding product returning from the jobsite
Assist with project closeouts and punch lists
Inputs scheduled projects onto the group Outlook calendar
Verifies customer product receipt and any issues regarding the customer product
Tracks and follows up on punch list items until project completion
Backs up the Project Manager during her absence and assists with customer requests
Answers incoming “operator” calls
Greets and assists visitors, allowing door access when necessary
Various other administrative functions as required
Required Skills and Qualifications (including but not limited to):
Minimum 2 years of experience in an administrative, client relations, or project coordinating role required
Knowledge of commercial furniture is a plus, but is not required
High School diploma/GED
Proficient with Microsoft Office products: Word, PowerPoint, Excel
Outstanding professional and personal communication skills - strong verbal and written communication skills are a must, as well as the ability to work effectively across internal and external organizations
Ability to work on multiple projects simultaneously; has the ability to plan, meet deadlines, and manage competing priorities
Acute attention to detail, excellent organizational and analytical skills
Highly energetic, positive, responsive, and self-motivated; proven ability to adapt to new and challenging situations
Pay & Benefits:
Full-time, Monday-Friday, 7:30 am to 4:00 pm
Pay: $25.00/hour
