Executive Assistant Project Coordinator III
The Executive Assistant Project Coordinator III will report to the Chief Financial Officer and General Counsel/Executive Vice President of Human Resources and will work closely with and support the Home Team leadership. This position will provide executive level support to the CFO and General Counsel/EVP of HR and administrative support for various Home Team-led programs (e.g., Claytons Boundless program). The ideal candidate will be a problem solver who has excellent communication skills, impeccable attention for detail and most importantly protect confidential information and data. The candidate should also have experience working in an office environment, providing executive administrative support, and supporting to leaders and coworkers in a professional manner.
Executive Assistant Project Coordinator III Duties
Provide administrative support primarily to the CFO & General Counsel/EVP of HR and, if needed, other Home Team leadership.
Manage calendars of CFO and General Counsel/EVP of HR; schedule meetings and assisting in planning business unit meetings and functions including organizing the agenda, coordinating logistics with speakers, vendors, technology, and hospitality groups, and ensuring meetings/functions are executed successfully.
Perform clerical and administrative task including: drafting letters, invoices, memos, reports, and other documents for senior staff.
Collaborate with various groups within the department to create and publish presentations which will be used for internal and external use.
Serve as a conduit for business unit wide information and reports.
Provide administrative support for Home Team-led programs as needed (e.g., the enterprise Boundless program, etc.)
Partner with Executive Assistant to the CEO on major events or initiatives if requested.
Events with varying attendance size and variety of high-level audiences
Coordinating with select 3rd party vendors to accommodate specialized preferences
Protect confidential and highly sensitive information and data.
Oversee and problem-solve Enterprise-wide travel and expense issues, handle travel arrangements, and expense reports for executives.
Support Treasury team in updating banking documentation and performing daily tasks as requested
Complete special projects as assigned by CFO or General Counsel; support project efforts as a representative of executive leader(s). Duties may include, but are not limited to:
Manage and oversee all aspects of a project to ensure it is completed on-time and within budget if assigned primary role.
Responsible for planning and scheduling various project workloads.
Provide reporting and analysis to the status of ongoing projects; gather necessary information to prepare status reports.
Track status and share overall progress towards aligned goals with leadership.
Monitor Claytons ethics and complaints hotline and disperse reports to appropriate business units with the utmost discretion and confidentiality
May research, analyze, and recommend improvements to internal business processes
Executive Assistant Project Coordinator III Education
7/10 years of related experience and high school diploma/GED or 3-5 years related experience and a bachelors degree
Executive Assistant Project Coordinator III Skills
Strong verbal and written communication skills; demonstrated experience creating and facilitating presentations; exhibits professional demeanor with all levels of leadership, clients, staff, and customers
Proficient computer skills including Microsoft Office, financial reporting systems, and travel systems; advanced skills in presentation design and drafting (e.g., Power Point, etc.)
Demonstrated ability to meet commitments, build consensus, and garner respect from leaders, teams, and colleagues
Comfortable with routinely shifting demands and urgent matters
Trustworthy and capability of handling highly sensitive, confidential information
